Role Description

This is a full-time, on-site Chief of Staff role located in Madison, WI. Atmospheric Floral is seeking a Chief of Staff to serve as the CEO’s right hand and operational integrator, bringing structure, clarity, and consistency to a fast‑paced luxury event business. This role acts as a force multiplier for the owner—translating creative vision into flawless execution across weddings and high‑profile events. The Chief of Staff oversees day‑to‑day operations, leads and develops staff, and ensures systems, timelines, and accountability are upheld to the exacting standards of the luxury market. The ideal candidate is a confident people leader and strategic operator who thrives in high‑touch client environments and excels at managing complexity, detail, and elevated expectations.


Key Responsibilities

Executive Operations & Administration

  • Serve as primary operational support to the CEO, managing email, calendars, systems, and administrative workflows
  • Oversee CRM, project management platforms, and internal tools
  • Manage payroll approval, scheduling, and act as liaison to HR
  • Oversee social media scheduling, deployment, and light community management

Operations, Project & Logistics Management

  • Oversee daily studio operations to ensure an organized, efficient, and creative work environment
  • Manage end‑to‑end event logistics, including timelines, inventory procurement, transportation, staffing, and on‑site execution
  • Implement and maintain efficient workflows for purchasing, proposals, vendor relationships, and production
  • Oversee inventory levels, vendor negotiations, production scheduling, and waste reduction

Team Leadership

  • Lead, manage, and develop core and seasonal staff in‑studio and on‑site at events
  • Handle hiring, onboarding, scheduling, performance management, and team accountability
  • Foster a strong, collaborative, and highly professional team culture

Client Experience & Luxury Event Execution

  • Serve as primary liaison between the owner, clients, vendors, and internal teams
  • Manage client communications, touchpoints, proposals, and expectations throughout the planning process
  • Ensure flawless day‑of execution, including overseeing on‑site design, installation, vendor coordination, and occasional late‑night strikes
  • Uphold brand standards and deliver a high‑touch, client experience

Strategic & Creative Partnership

  • Work closely with the owner to translate creative vision into operational reality
  • Support business strategy, pricing, and growth initiatives
  • Track budgets and ensure financial discipline across events and operations


Qualifications & Experience

Core Experience & Skills

  • Bachelor’s degree. Focus in business management, program management, horticulture or design a plus.
  • 3–5 years of experience in high-end event planning, wedding production, floral design management, or comparable luxury service environments
  • Proven operational expertise managing complex logistics, inventory, supply chains, timelines, and multi-event execution
  • Strong people leadership skills with the ability to lead, mentor, and hold teams accountable in fast-paced environments
  • Highly organized, action-oriented self-starter with exceptional attention to detail and problem-solving abilities
  • Excellent communication and interpersonal skills, grounded in professionalism, kindness, and customer-centric service
  • Technically proficient in project management platforms, CRM systems, and Microsoft Office / Google Workspace
  • Ability to manage multiple priorities under tight deadlines while maintaining brand standards and client experience
  • In-person role; must be based near Madison, WI

  • Trusted partner to executive-level ownership, translating creative vision into operational reality
  • Confident facilitator of design meetings across floral, styling, rentals, and linens
  • Consistent, proactive communication with clients throughout the planning process, ensuring confidence and excitement
  • Ability to offer creative input and aesthetic guidance while upholding luxury brand standards
  • Proven ability to deliver high touch client service with precision and emotional intelligence

Preferred Background

  • Experience in luxury hospitality, design, retail, or wedding/event industries
  • Background or interest in floriculture, horticulture, design, styling, or visual merchandising
  • Strong phone and written communication etiquette
  • Demonstrated commitment to continuous learning and professional growth

Work Environment & Physical Requirements

  • Flexible schedule with required weekend, holiday, and peak-season availability
  • Ability to work extended days during peak business periods
  • Comfortable working on your feet for 8 hours during installations and events
  • Ability to lift and move materials up to 50 pounds
