Project Specialist

How You Will Make an Impact:

The Project Specialist supports the successful execution of capital projects by coordinating documentation, materials, schedules, and cross-functional activities across the project lifecycle. This role is ideal for an experienced professional with strong project support, operations, construction coordination, or administrative experience who may not have held a formal project management title. The Project Specialist helps keep projects organized, on track, and aligned with business, safety, and quality expectations while partnering closely with project leaders, field teams, vendors, and subcontractors.

Responsibilities:

· Coordinate project-related activities, documentation, and communication to support timely and effective project execution.

· Support development and maintenance of work plans, schedules, trackers, and status updates for active projects.

· Assist with budget tracking, purchase requests, invoice coordination, and other project-related administrative processes.

· Partner with subcontractors, vendors, and internal teams to help coordinate staffing, materials, deliverables, and timelines.

· Maintain organized project files, logs, and document control systems to ensure records are accurate and up to date.

· Monitor project milestones and escalate risks, delays, or issues to project leadership as appropriate.

· Prepare reports, meeting notes, and project summaries for project leaders and stakeholders.

· Serve as a key point of coordination between field teams, office staff, subcontractors, and project leadership.

· Coordinate ordering, tracking, and delivery of project materials, supplies, and equipment.

· Support continuous process improvement by identifying opportunities to improve project coordination, documentation, and workflow efficiency.

· Know and comply with all safety policies, standards, and procedures that apply to your job.

· Actively participate in all required training and safety meetings.

· Use the correct tools and use them safely.

· Immediately report all incidents, near-misses, and unsafe conditions to your supervisor.

· Perform other duties as assigned.

Qualifications:

· Bachelor’s degree is preferred, or equivalent combination of education and directly related experience.

· 3 years of experience in project coordination, project support, construction administration, operations support, logistics, or a related function.

· Experience supporting complex, fast-paced work with multiple stakeholders, deadlines, and competing priorities.

· Proficient in Microsoft Excel, Word, and PowerPoint.

· Experience working with ERP or project systems; Epicor preferred.

· Strong organizational skills with attention to detail and follow-through.

· Strong verbal and written communication skills.

· Ability to work effectively in a cross-functional team environment.

· Ability to manage sensitive or changing information with professionalism and sound judgment.

· Ability to work Monday–Friday with occasional night or weekend support as business needs require.

· Commitment to treating everyone with respect and dignity.

· Ability to pass a drug screening.

Travel Requirements

· Flexibility for frequent travel to job sites and office locations as needed to support team and project success.

· Must maintain a valid driver’s license; travel may include driving and/or flying.

· Flexibility for out-of-town and overnight stays as needed to support team and project success.

Physical Requirements

· Sitting for extended periods.

· Light lifting, including occasionally carrying laptops, documents, or small equipment (typically under 20–50 lbs.).

· Walking job sites, navigating uneven terrain, climbing stairs or ladders, working outdoors in heat/cold/wind, and wearing required PPE (hard hats, safety glasses, steel-toe boots).

· Stamina and endurance for long workdays during critical project phases.
