Position Overview
The Front Desk Receptionist / Patient Experience Coordinator is a key part of the daily flow and success of Atlas Rising.
This is not a sit-behind-the-desk-only position. This person will help manage the front desk, scheduling, phones, payments, patient communication, and office flow, while also assisting with our red light therapy and body contouring programs.
You will help patients get set up for red light therapy sessions, guide them on and off the light beds, perform 3D body scans, support treatment room flow, and help create a smooth, encouraging experience for patients working on fat loss, body confidence, and overall wellness.
This role is a great fit for someone who is friendly, organized, comfortable talking with people, confident with collecting payments, and able to keep the office moving without losing warmth or professionalism.
Responsibilities
- Greet patients warmly and create a positive, welcoming first impression.
- Answer phones, return messages, and communicate clearly with current and prospective patients.
- Schedule appointments and help maintain a smooth patient flow throughout the day.
- Check patients in and out for appointments.
- Collect payments confidently and professionally.
- Support patients with scheduling, care plan logistics, and basic office communication.
- Assist patients with red light therapy sessions, including helping them get on and off the light beds safely and comfortably.
- Perform 3D body scans and help track patient progress during body contouring and weight loss programs.
- Help prepare treatment areas and keep red light/body contouring spaces clean, organized, and ready for each patient.
- Support patient follow-up systems so patients stay consistent with their recommended care.
- Assist with paperwork, intake forms, scanning, filing, and maintaining accurate patient information.
- Communicate with doctors, providers, and team members to help the office run smoothly.
- Help patients feel encouraged, supported, and confident throughout their care experience.
- Maintain a calm, clean, professional, and welcoming front desk and reception area.

Qualifications
Previous front desk, receptionist, customer service, sales support, or administrative experience preferred.
Healthcare, chiropractic, wellness, med spa, fitness, weight loss, body contouring, or medical office experience is a plus.
Comfortable using computers, phones, scheduling software, payment systems, and office technology.
Comfortable working directly with patients in a hands-on support role.
Strong communication and people skills.
Ability to multitask while staying professional, calm, and kind.
Reliable, punctual, and detail-oriented.
Must be able to work in person at our Westerville office.

Our office hours are currently: Expected to be available for all office hours.
Monday: 9:00 AM – 6:00 PM
Tuesday: 9:00 AM – 5:00 PM
Wednesday: 9:00 AM – 6:00 PM
Thursday: 9:00 AM – 6:00 PM
Friday: 9:00 AM – 3:00 PM
Saturday/Sunday: Closed
