What are the responsibilities and job description for the Design & Facilities Coordinator position at Atlas Restaurant Group?
Bring the vision to life. Keep the details running.
At Atlas Restaurant Group, we believe great restaurants are built from the details from the way a space looks and feels, the experience our guests have, to the behind-the-scenes work that keeps everything running smoothly.
We’re looking for a Design & Facilities Coordinator to join our team and help bring our restaurants to life while keeping our existing spaces looking, functioning and operating at their best.
This role sits at the intersection of design, operations, project coordination and facilities. One day you might be tracking furniture for a new restaurant, walking a job site, reviewing a vendor quote or coordinating an installation. The next, you could be troubleshooting a maintenance issue, scheduling a repair or partnering with an Operations leader to make sure a restaurant is ready for what’s next. If you’re organized, proactive and naturally notice the details others might miss and if you enjoy being just as comfortable on a job site as you are behind a spreadsheet , this is the role for you.
What You’ll Do
Design & Development
- Help bring Atlas design concepts to life by sourcing, ordering, tracking and receiving furniture, tabletop, uniforms, décor and other design elements.
- Support the sourcing of materials, finishes, furnishings and other elements for new and existing restaurants.
- Visit restaurant locations and job sites to help ensure design plans are being executed as intended.
- Support installations, punch walks, project closeouts and follow-up on outstanding items.
- Partner with internal teams, vendors, contractors and other project partners to keep projects moving forward.
Facilities & Maintenance
- Coordinate preventative maintenance schedules across our restaurant portfolio in partnership with Operations leaders.
- Coordinate service calls, repairs and follow-up with approved vendors.
- Help keep our restaurants safe, functional, well-maintained and aligned with Atlas standards.
- Maintain facility records, warranties, manuals and compliance documentation.
- Track maintenance expenses and support facilities budgeting and reporting.
- Jump in when unexpected issues arise and help coordinate a timely response.
Project & Administrative Support
- Keep project timelines, budgets, trackers and documentation organized and up to date.
- Maintain clear, consistent communication with internal teams and external partners.
- Provide leadership with project updates, status reports and visibility into open items.
- Attend meetings, site visits, vendor appointments and project-related meetings as needed.
- Take great notes, turn conversations into action items and most importantly, follow up until things get done.
- Support special projects and other initiatives across Design, Facilities and Operations.
What We’re Looking For
You’re someone who can zoom out to see the big picture and zoom in on the details. You’re naturally organized, resourceful and proactive, and you don’t need to be asked twice to follow up on something that needs attention.
You bring:
- 2 years of experience in design, hospitality, construction, facilities, procurement, project coordination or a related field.
- Experience in restaurants, hospitality, retail, commercial interiors or another fast-paced environment is preferred.
- Strong organizational and project-management skills with an exceptional eye for detail.
- The ability to manage multiple projects, priorities and deadlines without losing sight of the details.
- Strong written and verbal communication skills.
- Confidence communicating with vendors, contractors, restaurant teams and leadership.
- Proficiency with Microsoft Office, Google Workspace or similar tools.
- Experience with AutoCAD, design software, project management, procurement or facilities software is a plus.
- The ability to read and understand basic architectural drawings, floor plans, elevations or specifications is preferred.
- A willingness to travel between restaurant locations and job sites as needed.
- The ability to work independently while being an engaged and collaborative team player.
