Atlas Pump Repair has been troubleshooting, repairing, and installing commercial water pumps in the NY Metro area for over 60 years. We specialize in domestic cold water pumps, hot water pumps, heat pumps, condensate pumps, sump pumps, sewage ejectors, exhaust fans among others, as well as the controls for them including magnetic line starters, disconnect switches, circuit breakers, pressure switches, alternators, and VFDS.
Overview:
We are seeking a highly organized and professional Office Secretary to join our team. The ideal candidate will be responsible for managing administrative tasks, providing excellent customer service, and supporting daily office operations. This role requires strong communication skills, proficiency with office software, and the ability to handle multiple responsibilities efficiently. The Office Secretary plays a vital role in ensuring the smooth functioning of our office environment.
Duties
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office and other office management tools for scheduling, correspondence, and record keeping
- Assist with calendar management and appointment scheduling for staff and clients
- Provide customer support via phone, email, or in person, ensuring excellent service at all times
- Perform bookkeeping tasks using QuickBooks or similar software as needed
- Support administrative functions such as typing reports, organizing files, and managing office supplies
- Coordinate with team members to ensure efficient workflow and timely completion of tasks
- Maintain a professional appearance and demeanor at all times
Qualifications
- Proven experience in an office environment or clerical role; previous office management or administrative experience preferred
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional written and verbal communication skills; bilingual abilities are highly desirable
- Experience with QuickBooks or personal assistant roles is a plus
- Demonstrated ability to handle multi-line phone systems and maintain professionalism under pressure
- Attention to detail in proofreading, filing, and maintaining accurate records
- Strong time management skills to meet deadlines efficiently
- Ability to work independently as well as part of a team in a fast-paced environment
Job Type: Full-time
Pay: $22.89 - $25.00 per hour
