About Us:
We are a dynamic and patient-focused medical practice specializing in podiatric and wound care. We are seeking a detail-oriented and personable Medical Office Assistant to join our team and support both clinical and clerical operations. This position is required to travel between our Alma’s and Mt Pleasant locations.
Responsibilities:
- Accurately document patient histories, physical examinations, and treatment plans during patient visits.
- Record vital signs and other relevant patient information as directed by the healthcare provider.
- Assist in completing documentation for providers, acting as a medical scribe
- Assist in managing electronic health records (EHR) systems to ensure data integrity and accessibility.
- Assist in minor procedures, wound care, and podiatric needs
- Answers patients, vendor or guest questions and requests or inquiries with excellent customer service delivery.
- Greets patients, guests and vendors and ensures patient completes any necessary paperwork.
- Answers telephone calls timely, exhibiting courtesy and care in oral communication based on the Practice’s guidelines and direction.
- Assists patients with scheduling appointments.
- Registers and checks in patients in a timely manner.
- Prepares necessary documents for the patient’s visit, including obtaining copies of insurance cards and patient identification.
- Notifies the Provider and clinical staff of patients' late arrival.
- Reschedules patients based on leadership direction when necessary due to business or operational concerns.
- Conducts patient confirmation calls for scheduled visits or care.
- Ensures front desk and patient waiting areas are clean, orderly, and presentable daily.
- Creates reports, documentation, or similar type of administrative material when requested.
- Files medical records and other documentation
- Prepares the front desk and patient areas at the end of the day for the next day operations.
- Supports ordering of supplies, organization of work area and other non-clinical areas under direction of leadership
- Works to cover other Practice offices when schedule by management to ensure continuity of patient care and service.
- Completes patient insurance verification.
- Performs other duties as assigned and modified at manager’s discretion.
Qualifications:
- High school diploma or equivalent (required); college coursework or certification in medical administration (preferred).
- Previous experience as a medical receptionist or scheduler, preferably in a surgical or podiatric setting.
- Strong organizational and multitasking skills with attention to detail.
- Excellent verbal and written communication skills.
- Proficiency with medical scheduling software (experience with eClinical Works a plus.)
- Familiarity with medical terminology, insurance verification, and pre-authorization processes.
