AMI is seeking a Front Desk Coordinator to provide leadership and oversight to the team members in the North region of offices (Wall, Brick, Toms River, and Manahawkin).

The Front Desk Coordinator is responsible for, but not limited to, the following:
- Monitors the daily operations of the front desk & Lead Receptionists.
- Monitors monthly staffing schedules and coordinates staffing in the region to support assigned locations and ensure appropriate coverage. Recommends staffing plan changes as needed based on staff turnover, changes in volume, and operational objectives to maintain customer service expectations.
- Provides recommendations for staffing needs, assists in posting, reviewing, interviewing, and selecting candidates for positions.
- Monitors that front desk staff are providing a high level of customer service and meeting the needs of AMI patients and visitors. Coaches and assists Lead Receptionists in addressing performance issues in a timely and appropriate manner. Reports issues as needed to the Director of Administrative Services.
- Provides support and direction to Lead Receptionists and new staff to ensure success, including onboarding and training schedules, regular check-ins, coaching, and support as needed.
- Acts as a liaison to communicate and resolve issues that have cross departmental impact, including scheduling, billing, and IT. Reports issues to the Director of Administrative Services as needed for guidance.
- Performs audits as needed for compliance purposes, including, but not limited to, copay fund, operational guidelines, training process, and workflow adherence.
- Works cooperatively with the Director of Administrative Services, Office Administrator, and modalities to ensure that the administrative functions are running smoothly.
- Manages employees who have a direct reporting relationship for performance and training needs. Performs annual performance evaluations and any counseling needed for direct reports.
- Consults with Director of Administrative Services, Office Administrator, and Director of Human Resources as needed to manage employee performance or disciplinary actions.
- Works closely with Director of Administrative Services, Office Administrator, Scheduling Leadership, Billing, and IT to ensure that best practices in customer service and reception process are consistently followed. Communicates any changes or improvements needed to Lead Receptionists.
- Performs other duties as required and assigned.
This position is based in Toms River, and will provide oversight to team members in Wall, Brick, Toms River, and Manahawkin. The schedule includes Monday-Friday, 7:30am-4pm, with flexibility as needed based on department and business needs. Travel to other AMI offices outside of the North region is required as needed.
Eligible candidates have a high school diploma, or equivalent; some college coursework is preferred. A minimum of one (1) year in a Front Desk supervisory or Lead position is strongly preferred, with prior supervisory experience. Strong customer service skills and experience is required for success in this role. A demonstrated knowledge of medical office front desk operations is required, medical terminology knowledge a plus. Intermediate computer skills with the ability to learn new and different technologies is required.
Candidates must possess and demonstrate leadership skills, attention to detail, and the ability to adapt quickly in changing environments. Exceptional communication skills, both oral and written, are required.
