Overview
The Department of Pediatrics located in the Farris Building at Morristown Medical Center is seeking a Business Office Supervisor to work Monday - Friday.
Responsibilities
• Manage calendars for Chair, Executive Director and Service Line Manager, coordinating with system leadership, as well as internal and external contacts.• Coordinate and attend all Pediatric service line meetings; prepare agendas, take minutes, record attendance, and coordinate follow up on action items.• Carry out and oversee general administrative functions including phone reception, capital expenditures, check requests, and employee reimbursements.• Prepare agendas, presentations and other materials for service line monthly and quarterly meetings.• Directly supervise staff to ensure the completion of assigned projects and the smooth operations of the office• Oversee onboarding of any new team members for the Department of Pediatrics as well as pediatric hospital-based programs: obtain access to systems, ordering equipment and orientation. • Draft emails, memos, and announcements for distribution to all members of the Pediatric service line and affiliated medical staff on behalf of Chair and Executive Director including confidential correspondence.• Along with Editor and Co-Editor, compile and design quarterly Pediatric service line newsletter for organizational outreach.• Oversee meeting scheduling with Chair for physicians applying for medical staff privileges and physicians joining the faculty. • Create and maintain various databases for the Department of Pediatrics. • Coordination of sponsorships and charitable giving.• Coordination of approval and signatures on paperwork for anything related to the Department of Pediatrics. • Provide cross coverage with Admin. Asst. and ensure office coverage.• Order gifts on behalf of the department to be send to department members and staff.• Plan special events.
As well as other responsibilities and or projects assigned by Executive Director or Chair.
Qualifications
Education:
High School Diploma required/Bachelor's degree preferred.
Experience:
Administrative and/or Executive Scheduling experience required.Excellent communication and organizational skills required.Ability to multitask and work on various tasks through the day is required.Ability to work independently is a must.Previous experience managing employees preferred.
