Position: Administrative Assistant / Client Services Associate
Location: Greater Boston
Salary: $60k - $75k
Schedule: On-site 5/days
A growing wealth management firm is seeking a detail-oriented and client-focused Administrative Assistant / Client Services Associate to support advisors and help deliver a high-quality client experience. This position plays a key role in account administration, transaction processing, and maintaining accurate client data across multiple financial platforms.
The ideal candidate is highly organized, process-oriented, and comfortable managing multiple priorities in a fast-paced environment.
Key Responsibilities
Account Administration
- Prepare and process new account openings including brokerage, advisory, retirement, and trust accounts
- Ensure all documentation, compliance requirements, and custodial paperwork are completed accurately
- Coordinate account transfers, beneficiary updates, and ongoing account maintenance requests
Cash & Transaction Processing
- Process client contributions, distributions, and money movement requests
- Track pending transactions and ensure timely completion
- Maintain accuracy across all custodial submissions and operational workflows
Systems & Data Management
- Maintain accurate client records and workflows within CRM systems
- Update and reconcile client data within financial planning platforms
- Navigate custodial platforms to support account servicing and transaction execution
- Monitor task workflows and maintain documentation standards
Client Service Support
- Respond to client service requests in a professional and timely manner
- Prepare meeting materials and client paperwork for advisors
- Assist with post-meeting follow-up and implementation items
- Support advisors with day-to-day administrative and operational needs
Qualifications
- 3 years of experience within financial services, wealth management, or investment operations preferred
- Experience with CRM systems, custodial platforms, and financial planning software strongly preferred
- Prior experience supporting advisors or client service teams within an RIA or brokerage environment is a plus
- Strong organizational skills and attention to detail
- Ability to manage competing priorities effectively
- Excellent communication and client service skills
Salary : $60,000 - $75,000
