Summary/Objective
The Project Accountant is responsible for supporting the financial management of construction projects within the company's Vista ERP system. This role works closely with Project Managers and the accounting team to ensure accurate job cost tracking, subcontract administration, and timely financial reporting. The ideal candidate will bring deep construction industry experience, strong working knowledge of Vista ERP, and the ability to establish positive relationships with field and project management personnel.
Essential Functions
- Receive, review, and post all job cost adjustments into Vista ERP software, ensuring accuracy and proper coding to the appropriate project and phase codes.
- Import job cost estimates into Vista ERP, coordinating with estimating/project management to verify alignment between estimate data, project budgets, and reconcile where needed.
- Administer subcontracts throughout the project lifecycle, including issuing executed subcontracts to the applicable subcontractors and tracking compliance with insurance, licensing, and lien waiver requirements.
- QC information from the Pre-Construction Module and ensure completeness. Follow up with project management and business development as necessary for any missing data.
- Enter change orders within Vista ERP, ensuring timely updates to project budgets and contract values. Work to reduce variances between customer represented contract values and the contract value in Vista (original contract approved change orders).
- Serve as a financial resource for Project Managers, assisting with job cost inquiries, budget questions, and ERP-related issues.
- Work with Assistant Controller to maintain monthly work-in-progress (WIP) schedules, including percent complete calculations, over/under billing analysis, and projected cost at completion.
- Generate and distribute regular job cost reports to Project Management and operations leadership to support informed decision-making.
- Collect, track, and maintain conditional and unconditional lien waivers from subcontractors and material suppliers.
- Review and process subcontractor pay applications, verifying compliance with subcontract terms, insurance requirements, and lien waiver submissions prior to approval.
- Monitor project budgets against actual costs, identifying and communicating variances to Project Managers in a timely manner.
- Coordinate the financial closeout of completed projects, including processing final billings, releasing retention, and facilitating final payments to subcontractors.
- Maintain organized and complete project files within Vista or applicable network file structure, including executed contracts, change orders, subcontracts, insurance certificates, and correspondence.
- Support year-end audits, bonding renewals, and surety requests by providing accurate job cost data, WIP schedules, and project documentation.
- Other duties as applicable to position.
Required
- Minimum of 5 years of experience in project accounting, job cost accounting, or a closely related role within the construction industry; an equivalent combination of education and experience will be considered in lieu of formal degree requirements.
- Proficiency in Vista by Viewpoint (Vista ERP) is strongly preferred; experience with other construction ERP platforms will be considered.
- Solid understanding of construction accounting principles, including job costing, WIP reporting, subcontract administration, and owner billing processes.
- Experience with mechanical, electrical, plumbing, or other specialty contracting is a plus.
- Ability to read and interpret subcontracts, change orders, and contract documents.
- Strong interpersonal and communication skills with the ability to collaborate effectively with Project Managers and field personnel.
- High degree of accuracy and attention to detail with strong organizational and time management skills.
- Proficiency in Microsoft Office Suite, particularly Excel.
