The Campus Administrator, at The Potter's House, plays a vital role in supporting transformational programming and operations. This individual provides key administrative support to the Campus Director and ensures smooth execution of daily, weekly, and monthly activities across a dynamic environment serving men in long-term recovery.

The Campus Administrator, at The Potter's House, plays a vital role in supporting transformational programming and operations. This individual provides key administrative support to the Campus Director and ensures smooth execution of daily, weekly, and monthly activities across a dynamic environment serving men in long-term recovery.
Essential Duties And Responsibilities
- Provides administrative support to several leaders and works with employees at all levels to complete projects of a complex and confidential nature
- Receives and responds to routine correspondence following established procedures not requiring management review
- Coordinates activities between departments and outside parties
- Assists with Client management
- Maintains petty cash, disburse funds as approved while keeping accurate records and documentation
- Orders, monitors and disperses office supplies
- Tracks client progress within client database including intake, assignments, level changes, discharges, class attendance, and progression.
- Responds to inquiries or complaints from clients, volunteers, agencies, or business community
- Sends weekly schedule of classes and meetings via email
- Monitors the approved movers schedule to ensure client progress
- Coordinate team meetings, and take notes and share with the team to ensure everyone stays on task
- Coordinates ongoing development and scheduling of 8 week rotation of classes and produces weekly schedule and updates Salesforce for attendance tracking

- Strong computer literacy, especially in MS Office and scheduling platforms
- Experience managing calendars, internal communications, and administrative systems
- Detail-oriented with exceptional organizational and time management skills
- Excellent verbal and written communication abilities
- Strong interpersonal skills, with the ability to maintain professionalism and boundaries in a high-energy male shelter environment
- Demonstrated ability to manage multiple priorities and remain calm under pressure
- Tech savvy and resourceful; able to work independently and as part of a team
- Previous experience in fast-paced, human services or ministry settings preferred
- Crisis intervention training or certification – preferred
- Valid driver’s license and clean MVR (required for driving company vehicles)
- Occasional evening and weekend availability required
- Must have the ability to remain in a stationary position (standing, sitting, and/or walking)
- Must have the ability to stoop, kneel, crouch, or crawl
- Must be able to ascend/descend stairs occasionally
- Must be able to distinguish or determine smell
- Must have the ability to constantly operate a computer and other office equipment, such as a copy machine, calculator and computer printer
- Must be able to communicate accurate information
- Must be able to lift up to 25lbs occasionally
- Must have peripheral vision, depth perception, and ability to adjust focus
