Facilities Manager
Atlanta Jewish Academy, a private Early Childhood - 12th Grade school in Sandy Springs is currently seeking an experienced and energetic Facilities Manager.
Job Summary:
The Facilities Manager supervises the day-to-day operation and functioning of all building systems including mechanical, electrical, fire safety, plumbing, and waste management relating to our campus.
Primary Duties and Responsibilities:
Supervises all buildings, grounds, maintenance and transportation services – including all day-to-day maintenance and repair of facilities.
- Supervises all facilities staff (custodians, facilities, maintenance, groundskeepers, etc)
- Assigns projects and repairs to maintenance staff and ensures work is completed satisfactorily and on time.
- Responsibly hires and supervises external contractors
- Maintain the vendor files, repair records, and service contracts.
- Plans and coordinates all installations (construction, telecommunications, energy utilities, etc) and refurbishments.
- Manages responses to all facility work orders originating from building users, using established ticket processes and develops new processes as appropriate.
- Ensures all maintenance and event/rental set up tickets are processed in a timely manner.
- Coordinates the setup and breakdown of events.
- Schedules staff coverage as needed.
- Manages building usage; coordinates rental space usage with Rental Coordinator.
- Oversees regular cleaning of the school, supervises as needed day porters, and manages any contracted cleaning services. Communicates effectively with the cleaning staff and schedules additional cleanings or deep cleanings, as necessary.
- Manages the upkeep of all equipment and inventory of building supplies.
- Establish and maintain the building and repair budget.
- Continuously inspects building structures and outdoor areas to determine the need for repairs or renovations.
- Must be available on an on call basis.
- Reports to the Chief Operating Officer.
Other Duties and Responsibilities:
- Develops and maintains a regular maintenance schedule for all preventative maintenance.
- Executes the 5-Year Preventative Maintenance Plan
- Schedules and supervises all transportation staff.
- Daily commutes to and from school
- Works closely with Divisional Principals and Athletic Director on field trips &, athletics games
- Manages the regular maintenance and cleaning of the fleet of buses.
- Fleet comprised of two larger school buses and two smaller vans.
- Maintains all inspection records and maintenance records.
- Controls activities such as waste pickup and disposal, parking space allocation, etc.
- Review utilities consumption and takes steps to lower costs.
- Ensures compliance with local, state, and federal regulatory requirements
- Oversees inspections of all building systems for compliance (boiler, fire alarms, etc.)
- Ensures work safety regulations
- Partners with local, state, national, organizations to ensure preparation for impact of any health, safety, and weather conditions.
- Coordinates with the COO and Head of School in determining when to open and close schools based on the conditions of grounds and buildings following and during emergency situations.
Time required:
- Full-time; primarily day time hours, with some evening/weekend hours as needed for emergency repairs, events, or on-call services.
Education and Experience:
- Must have a current and valid driver's license
- 3 years of supervisory experience - experience in an educational setting is preferred.
- Knowledge of building systems, building codes, and regulatory requirements
- Prior commercial building or operations management experience preferred
- 3 years of experience in construction, painting, mechanical, electrical etc.
- Technology capable: familiar with spreadsheets; can use school data base systems with short learning curve.
- Strong organizational skills with attention to detail
- Able to prioritize and meet deadlines
- Capable written and verbal communication skills
- Solid interpersonal skills with a customer service focus
- Ability to work both independently and as part of a team
