Position Overview

Procurement is a new department in the organization, residing under Finance. This is an opportunity to strategically develop this department & capability, build a team from the ground floor, and play a critical role in planning and budgeting. 


The Director of Procurement will oversee the centralized procurement & purchasing process for all business units and brands. Starting with the launch of the department to the organization, this role will be responsible for developing and implementing company-wide purchase order processes & policy, managing vendor invoices, and monitoring expenses to achieve financial objectives. This position will require deep understanding of stakeholder needs and cost drivers of the business. The Director of Procurement will ensure consistency, efficiency, and transparency in procurement & sourcing without compromising on quality and delivery. 


The ideal candidate will have extensive experience overseeing the procurement operations including setting strategy, designing and implementing policies & processes, supporting budgeting and finance processes, managing an RFP  process, and vendor & supplier management. The Director of Procurement will report to the VP, Strategic Initiatives & Operations.


Responsibilities

  • Develop and implement company-wide purchase order SOPs, including development of a purchase requisition 
  • and purchase order process for company spend across the Hawks, live events, corporate & admin, and intracompany spend. 
  • Manage launch of company-wide purchase policies & processes, including training, to ensure adherence to new 
  • SOPs and smooth transition
  • Work with the A/P team to ensure vendors are properly setup and onboarded in CorPay and the right 
  • documentation standards are in place for timely invoice processing and accurate attribution of charges
  • Drive the timely receipt and processing of invoices, ensuring invoices align with the purchase order, to support 
  • accurate payments and real-time insight on spend
  • Ensure alignment between department spend and budget, monitoring monthly, quarterly and annual spend by
  • department, providing visibility into departmental expenses 
  • Collaborate with the A/P and Finance teams to support the monthly close process and overall budget 
  • management process
  • Work with Arena Leadership on CapEx projects including tracking against budget and strategic sourcing
  • Review vendor spend on intra-company purchases and identify opportunities to streamline vendors and costs, 
  • source the best vendors/suppliers, and assist in negotiations to get optimal prices and terms
  • Ensure relevant stakeholders are aware and informed of vendors and contracts to avoid potential duplications 
  • and excess spend
  • Develop and manage the execution of key procurement initiatives including data gathering and analysis, 
  • business requirements development, preparation of Requests for Proposals (RFP's), evaluation of responses, 
  • and preparation of recommendations for key areas of the business
  • Track and report key functional metrics to reduce expenses, streamline costs, and improve efficiency
  • Build a best-in-class procurement team to support the function and Finance department in sourcing and purchasing for the organization

Minimum Qualifications: 

  • Bachelors' Degree in Procurement Management, Business Management, or related field
  • 7 years of experience in general procurement role including purchasing experience with demonstrable 
  • management experience
  • Must have technical depth and relevant experience in procurement, purchasing, and sourcing best practices 
  • Experience working with procurement and finance software
  • Exceptional quantitative & analytical skills including detailed financial analyses and budgeting; able to 
  • present findings to Executive Management in a logical, concise manner
  • Must have excellent written and verbal communication skills, problem solving skills and great attention to detail.
  • Ability to work as part of a team, effectively build relationships and hold ongoing dialogues with leadership, 
  • influencing and directing others
  • Ability to multi-task by being well organized, efficient and productive 
  • Key Competencies: leadership & development, impact focused, adaptability, project management, strong 
  • influencing skills, and high-level communication/negotiation/problem solving capabilities
