Subcontractor Payable Admin Assistant

Summary:  Provides Administrative support to the Subcontractor Payables department.  This includes but is not limited to providing support to all installers, department team members and other departments by accurately answering related questions in a timely manner, supporting the department manager by assisting with special projects as assigned and learning all aspects of the department. 

Responsibilities:

  • Keep track of installer invoices turned in each week.
  • Sort & collate installer payroll packets.
  • Reconcile installer payroll packets.
  • Update Excel spreadsheets with accuracy
  • Track installer’s status
  • Make Workers Comp verification calls and maintain the log
  • Scan, Email, & File weekly paystub packets
  • Assist in reconciling installer payroll and retainage accounts
  • Assist in the setup of installer profiles
  • RFMS Duties
  • Communicate with internal departments & locations while receiving and processing payroll
  • Respond to emails, phone calls and requests in a timely manner
  • Learn and become proficient in all areas managed by the department
  • Additional duties as assigned.

  • Knowledge and understanding of Administrative Duties (required)
  • Strong organizational skills and attention to detail (required)
  • Ability to meet weekly mandatory deadlines while maintaining accuracy finished product (required)
  • Research and problem-solving skills (required)
  • Strong written and verbal communication skills (required)
  • Microsoft Office (Excel required)
  • Ability to prioritize responsibilities and multi-task (required)
  • Strong Customer Service skills - Kind, patient and attentive to client/customer/installer/team needs
  • Ability to focus in fast paced environment
  • Excellent time management skills
  • Experience with RFMS a plus
