ATI is hiring a Engineering Department Coordinator at our Millersburg, OR facility. This is an onsite position 5 days per week. The purpose of the Department Coordinator within Capital Projects and EHS in an industrial, construction, operations, or manufacturing environment is to provide comprehensive administrative and coordination support to ensure efficient and effective operations within the departments. This role is vital in maintaining organized workflows, coordinating various departmental activities, managing records, contractor coordination and facilitating communication among team members as well as contractors. The Department Coordinator will be responsible for supporting the planning, execution, and administration of contractor-related programs and initiatives. This role ensures contractors are onboarded efficiently, comply with company policies, and are effectively integrated into project workflows. The coordinator acts as a liaison between internal teams, vendors, and contractors to maintain smooth operations. The coordinator will ensure compliance with company policies and regulatory requirements, supports safety and quality initiatives, and contributes to the continuous improvement of operational processes. By handling a wide range of coordinating tasks, the coordinator enables the team to focus on core business functions, ultimately contributing to the overall success and productivity of the organization.

Primary Responsibilities
As a Department Coordinator your primary responsibilities will include:
- Administrative Support: Provide comprehensive administrative assistance to ensure smooth departmental operations, including managing correspondence, scheduling meetings, and maintaining calendars.
- Document Management: Create, update, and maintain accurate records and documentation, both electronic and physical, ensuring compliance with company policies and regulatory requirements.
- LMS Admin: Responsible for the day-to-day management and optimization of the department’s Learning Management System (LMS). This role includes maintaining course content, managing user access and enrollments, troubleshooting system issues, and ensuring a smooth user experience for learners. Collaborate with stakeholders to upload and update training materials, track completion and compliance, generate reports, and support continuous improvement of learning programs. Ensures data accuracy, system integrity, and alignment with organizational training goals.
- Contractor Program: The coordinator will coordinate onboarding and offboarding processes for contractors, including documentation, system access, and orientation. Maintain accurate contractor records, contracts, and compliance documentation. Track contractor performance, engagement timelines, and deliverables. Support reporting and analytics on contractor utilization and program effectiveness. Identify opportunities to improve contractor processes and program efficiency. Serve as the primary point of contact for contractor-related inquiries
- Data Entry and Reporting: Enter and update data in various systems, generate reports, and track key performance indicators (KPIs) to support decision-making processes.
- Procurement and Supplies: Manage office supply procurement through I-Procure, including safety and tool supplies, recycle process supplies, and other department needs.
- Employee Support: Assist employees with various needs such as computer access, training, and troubleshooting, and maintain employee folders and training records.
- Safety and Compliance: Manage safety drill rosters, post safety and quality alerts, and ensure compliance with safety protocols. Assist with EHSQ audits. Participate in safety scorecard processes and maintain safety engagement reports.
- Event Coordination: Organize and coordinate catering for meetings and events and assist with other event-related logistics.
- SharePoint Management: Create and manage SharePoint sites for document sharing and collaboration within the department.
- Communication: Facilitate clear and timely communication within the department, including sending reports, notifications, and updates to relevant stakeholders.
- Continuous Improvement: Work closely with operations to identify and resolve process issues, support cultural development activities, and assist with continuous improvement initiatives.
- Special Projects: Other duties as assigned.
Required Qualifications
- High school diploma or equivalent
- 2 years of administrative, coordination, or support experience
- Basic proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Associate degree or coursework in business, administration, or related field
- Experience supporting operations, construction, manufacturing, or industrial environments
- Exposure to systems such as SharePoint, learning systems (LMS), or data tracking tools
- Familiarity with scheduling or basic reporting
