Position Summary:
The Elementary School Administrative Assistant serves as a welcoming, professional, and responsive point of contact for students, families, staff, and visitors. The Administrative Assistant supports daily school operations by managing front-office communication, responding to questions and requests, coordinating dismissal changes, and helping families and staff access needed resources and services.
Essential Responsibilities: Front Office & Communication
● Answer and direct incoming telephone calls in a professional, timely, and welcoming manner.
● Greet and assist students, families, staff, and visitors who contact or enter the main office.
● Respond to routine questions from staff, students, and families or direct inquiries to the appropriate staff member.
● Monitor and respond to office email and other school communication systems.
● Maintain a calm, helpful, and solution-focused presence in the main office.
● Communicate important information accurately and appropriately while maintaining confidentiality.
Student & Family Support
● Serve as a primary point of contact for families regarding routine school questions, procedures, schedules, attendance, transportation, and other school-related needs.
● Assist families in navigating school procedures and connect them with appropriate school personnel when additional support is needed.
● Support students who come to the main office and ensure they are connected with the appropriate staff member.
● Maintain a welcoming and respectful environment for all students and families.
Dismissal & Student Transportation
● Receive and document parent/guardian requests for changes to a student's dismissal plan.
● Verify dismissal changes according to school procedures before communicating changes to classrooms or dismissal staff.
● Maintain accurate dismissal records and communicate changes clearly and promptly.
● Coordinate with teachers, dismissal staff, transportation personnel, and administrators to ensure students are dismissed safely and appropriately.
● Address dismissal questions and concerns from families and staff.
Administrative & Office Support
● Receive, distribute, and organize school correspondence and materials.
● Support administrators and staff with routine clerical and administrative tasks.
● Maintain confidentiality of student, family, and staff information.
● Assist with school-wide events, meetings, registration, and other activities as needed.
● Follow all school, district, and safety procedures.
