Responsibilities
- Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professional phone etiquette.
- Oversee schedule management for staff and appointments, ensuring calendars are up-to-date and conflicts are minimized.
- Coordinate event planning activities for meetings, trainings, and company events to promote team engagement and organizational growth.
- Supervise administrative staff or interns, providing guidance and support for their development and task completion.
- Handle vendor management by liaising with suppliers, scheduling deliveries, and maintaining positive vendor relationships.
- Maintain accurate bookkeeping records using accounting software such as QuickBooks; perform basic accounting tasks including invoicing, billing, and expense tracking.
- Manage confidential information with discretion while ensuring compliance with organizational policies and procedures.
- Assist human resources functions such as onboarding new employees, maintaining personnel files, and supporting payroll processes.
- Utilize Microsoft Office Suite (Word, Excel, Outlook) to prepare reports, spreadsheets, and correspondence efficiently.
- Support office budgeting efforts by monitoring expenses and assisting with financial recordkeeping.
- Ensure all office supplies are stocked and organized; oversee filing systems for easy document retrieval.
Skills
- Proven experience in office administration or management roles with strong clerical skills.
