Full-Time Patient Care Coordinator (28-32 Hours Weekly)

Athens Pregnancy Center (APC) and Compass Women’s Clinic (CWC) are seeking a compassionate, organized, and mission-driven Patient Care Coordinator to support women and families through coordinated care, advocacy, referrals, and practical support services.
This position works approximately 28-32 hours per week and is ideal for someone who desires meaningful ministry-focused work in a flexible, relational, and collaborative environment.
The Patient Care Coordinator works closely with medical staff, support services, community partners, and clients to help ensure women receive timely, compassionate, and client-centered care. The ideal candidate is relational, detail-oriented, emotionally mature, and passionate about serving vulnerable populations in a Christ-centered setting.
Responsibilities Include:
- Scheduling patient appointments. This includes incoming calls, emails, and walk-ins.
- Utilizing organizationally approved communication platforms and devices.
- Consistent review of any appointments scheduled by other staff members and checking for any potential timing conflicts. PCC is primary patient schedule point of contact.
- Ensures that phones and website contact are working properly on a consistent basis
- Checks voice mail at regular intervals throughout the day.
- Answers phones, chat messages and text messages live and promptly during office hours, adhering to policies.
- Greets patients and visitors in a timely and professional, welcoming manner.
- Ensures all applicable paperwork is completed by the patient prior to being seen utilizing the EMR platform.
- Keeps reception, waiting room and patient bathroom clean and professional in appearance.
- Maintains ample supplies in the above areas. Coordinates monthly inventory orders and ensures approval through the Director of Clinical Services as appropriate.
- Monitors literature in the reception area to ensure current and appropriate.
- Screens all incoming calls to ensure prompt & appropriate follow up.
- Checks in/out both patients and visitors for appointments.
- Maintains awareness of staff on site. Staff & volunteers to notify PCC & get the Director of Clinical Services' approval of any schedule changes.
- PCC to greet patient advocates and assist Lead Patient Advocate and/or medical staff in notifying them of pertinent items regarding the daily schedule expectations, as directed by the Director of Clinical Services.
- Completes confirmation calls and/or messaging for upcoming patient appointments daily.
- Utilizes EMR, Shared Workgroup Server, Excel Spreadsheets and all other IT, online or phone systems as appropriate.
- Ensures necessary paperwork is completed in compliance with Policies and Procedures regarding records releases and communicates with the Director of Clinical Services.
- Utilizes software/EMR systems for appointment scheduling and electronic documentation. Ensures compliance with device usage among staff with the Director of Clinical Services.
- Checks mail daily and distributes as appropriate.
- Certified Medical Assistants carrying the role of PCC may float to the back office when cross trained to fulfill the Patient Advocate role as directed by the Director of Clinical Services.
Qualifications
- Front Office experience in clinical setting; preferably OB/GYN or Pregnancy Medical Clinic setting for more than one year preferred
- Certification as a Medical Assistant, Nursing Assistant, or a Bachelor’s Degree preferred
- Bilingual or multi-lingual preferred
- Strong communication and organizational skills
- Active and growing Christian faith with involvement in a local church
