Responsibilities
- Greet visitors and clients warmly, providing exceptional customer service with professional phone etiquette.
- Manage multi-line phone systems, directing calls accurately and promptly to appropriate personnel.
- Maintain a clean, organized front lobby area and ensure all reception duties are handled efficiently.
- Handle data entry, and filing to support office operations with precision.
- Utilize computer skills to update records, manage calendars, and support office management tasks using Microsoft Office, Google Workplace and other relevant software.
- Assist with bookkeeping tasks to support financial recordkeeping.
- Support administrative functions such as scheduling appointments, managing calendars, and coordinating meetings for staff.
- Provide clerical support including photocopying, mailing, and maintaining office supplies inventory.
- Offer general office management assistance to ensure smooth daily operations and effective communication across teams.
Requirements
- Ability to interact with a wide range of clientele representing different socioeconomic, racial and cultural backgrounds.
- Proven office experience with strong organizational skills and attention to detail.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills.
- Prior experience with multi-line phone systems and front desk operations preferred.
- Bilingual abilities are highly desirable to serve diverse clients and team members effectively.
- Strong customer service skills with a professional demeanor and excellent phone etiquette.
- Ability to handle clerical tasks such as filing, and managing correspondence accurately.
- Demonstrated time management skills with the ability to prioritize tasks efficiently in a fast-paced environment.
