Job Summary

We are seeking a detail-oriented and client-focused Estate Planning Paralegal to join our team. You will work closely with our attorneys to prepare high-quality estate planning documents, support clients through the planning process, and ensure every client feels confident and cared for. If you love estate planning, thrive on organization and accuracy, and enjoy working in an awesome, collaborative environment where we work hard but keep things human, this is an excellent opportunity.

Key Responsibilities

  • Conduct thorough client intake meetings, gather asset and family information, and assist in customizing estate plans to meet each client’s unique goals.
  • Review client financial and asset documentation to ensure accuracy and completeness for estate planning purposes.
  • Organize and maintain client files, track deadlines, and manage workflow efficiently within our flat-fee estate planning model.
  • Communicate regularly with clients in a clear, empathetic, and approachable manner, explaining estate planning concepts in everyday language.
  • Prepare client correspondence, summaries, and follow-up materials to keep the planning process moving smoothly.
  • Collaborate closely with attorneys and the team to deliver exceptional, client-centered service and help families achieve peace of mind about their futures.
  • Support general estate planning administrative tasks to ensure cases progress efficiently and accurately.

Qualifications & Requirements

  • 4–5 years of focused experience as an estate planning paralegal in a law firm, with strong expertise in drafting wills, trusts, powers of attorney, and related estate planning documents.
  • Solid understanding of Florida estate planning laws and best practices.
  • Excellent organizational skills and meticulous attention to detail — you take pride in producing accurate, high-quality work.
  • Strong communication skills with the ability to explain complex estate planning concepts in simple, relatable terms that put clients at ease.
  • Experience with legal case management or CRM systems (we use Zoho) and proficiency in Microsoft Office or Google Workspace.
  • You embrace our Non-Stuffy culture.
  • You’re a team player who is competitively driven to deliver great results, but you genuinely celebrate everyone’s wins because we all succeed together.
  • Paralegal certification or degree is a plus, but relevant hands-on estate planning experience and a quick learning attitude matter most.
  • Compassionate and client-focused — you understand that estate planning involves sensitive life and family decisions and treat every client with care and respect.
