Job Description
The Sales Operations Process Specialist develops, documents, and standardizes the processes, procedures, and operational documentation that support the Transit Sales department. This temporary role focuses on creating Standard Operating Procedures (SOPs), workflow diagrams, process maps, work instructions, templates, and training materials that drive consistency, improve efficiency, and enable the Sales organization to scale effectively. Working under the direction of Sales Operations leadership, this position builds and maintains the operational framework that allows the Sales team to execute work efficiently and consistently, culminating in a comprehensive Sales Operations Playbook that serves as the central operating guide for the department.
Responsibilities
This is a temporary role with an initial duration of at least three months, with a strong likelihood of extension as additional departments undertake similar process documentation initiatives. For the right person who makes a significant impact, there is potential for the role to convert to a direct position and expand to support operations on a broader, possibly national level. The standard work schedule is approximately 8:00 a.m. to 4:30 p.m. The specialist reports into Sales Operations leadership (including Sales and Operations Planning) and works very closely with Sales Management and Sales Coordination for project support. The role is highly cross-functional, partnering with Finance, IT, Engineering, Sales, Purchasing, Production, Warranty, Marketing, Legal, and other departments. The current environment has minimal formal SOPs, and much of the knowledge is tribal and passed down verbally, so the role involves extensive interaction with subject matter experts to capture and formalize processes. The position requires a collaborative, humble, and flexible working style, with a focus on building sustainable systems rather than working in isolation. The broader organization operates in a manufacturing context supporting transit bus products used by public transit agencies, universities, airports, parking shuttle operators, and municipal and government transportation entities.

Responsibilities
- Develop, document, and maintain Standard Operating Procedures (SOPs) for Sales Operations processes.
- Create process maps, workflow diagrams, swim lane charts, and other visual documentation to clearly illustrate departmental workflows.
- Analyze current Sales Operations processes and cross-functional workflows to identify opportunities for standardization and improved efficiency.
- Document current-state and future-state workflows for sales, quoting, bidding, contract administration, program management, document control, and related business functions.
- Collaborate closely with department leadership to validate, refine, and implement standardized processes across the organization.
- Ensure all process documentation is organized, version controlled, and easily accessible to relevant stakeholders.
- Develop detailed work instructions, templates, checklists, and supporting documentation to improve consistency and quality of execution.
- Develop and maintain a comprehensive Sales Operations Playbook that consolidates SOPs, workflows, best practices, templates, work instructions, roles and responsibilities, process documentation, and training materials into a centralized resource.
- Assist with change management initiatives related to new processes and organizational improvements, helping teams adopt and sustain new ways of working.
- Support the development of departmental training materials and onboarding documentation for Sales Operations and related roles.
- Recommend process improvements that enhance the efficiency, effectiveness, and scalability of the Sales Operations department.
- Gather information and tribal knowledge from subject matter experts, including bid analysts, program managers, regional sales managers, and other roles, and translate it into clear, structured systems and processes.
- Maintain confidentiality of proprietary company information and customer data at all times.
- Work cross-functionally with departments such as Finance, IT, Engineering, Sales, Purchasing, Production, Warranty, Marketing, and Legal to accurately document handoffs, responsibilities, and workflows that support Sales Operations.
- Adapt to a brand new role by staying focused, flexible, and collaborative while processes and expectations are being defined and refined.
- Bachelor's degree in Business Administration, Operations Management, Industrial Engineering, Supply Chain, or a related field is highly preferred, and required for potential direct conversion.
- At least 3 years of experience in business process improvement, operations, project coordination, business analysis, technical documentation, or a related field.
- Strong understanding of business process documentation and workflow development.
- Proven experience creating Standard Operating Procedures (SOPs), work instructions, and process documentation.
- Experience creating SOPs, workflow diagrams, and process documentation is required.
- Proficiency with Microsoft Visio, Lucidchart, Microsoft Office Suite, or similar process mapping and documentation tools.
- Strong Microsoft Excel skills, including at minimum the ability to use VLOOKUPs and pivot tables.
- Excellent organizational skills with exceptional attention to detail.
- Strong written communication skills with the ability to clearly document complex business processes.
- Ability to gather information from multiple stakeholders and translate it into clear, standardized documentation.
- Experience working in or with manufacturing environments.
- ERP system experience in a business or operations context.
- Experience with continuous improvement methodologies such as Lean or Six Sigma is preferred.
- Strong interpersonal and communication skills to work effectively with cross-functional teams.
- Ability to balance independence with collaboration, contributing solutions without needing to work in isolation.
- Experience in sales operations, sales support, or related operational roles is beneficial.
- Experience in documenting processes for roles such as bid analysts, program managers, and regional sales managers is a plus.
- Familiarity with training development and creating training materials to support new processes.
- Experience supporting change management initiatives, including rollout and adoption of new processes.
- Comfort working in environments where processes are not yet formalized and where tribal knowledge must be captured and structured.
- Ability to manage multiple documentation projects simultaneously while meeting deadlines.
- Strong analytical mindset with a focus on efficiency, scalability, and continuous improvement.
