We are seeking a detail-oriented Purchasing Office Professional with 1–2 years of experience to support day-to-day procurement operations. You will play a key role in maintaining smooth supply flow, supporting cost-saving initiatives, and keeping purchasing records accurate and up to date.
Responsibilities
This role operates in a manufacturing and open office environment with cubicles, providing close proximity to operations and cross-functional teams. The standard schedule is Monday through Friday, 8:00 a.m. to 5:00 p.m., offering a consistent daytime work routine. Responsibilities
- Process purchase orders accurately and track order status to ensure timely delivery of materials and services.
- Maintain and strengthen vendor relationships by communicating regularly on pricing, product availability, and lead times.
- Compare vendor quotes and assist in sourcing materials and services to achieve the best value and quality.
- Monitor inventory levels and assist with replenishment planning to prevent stockouts and overstock situations.
- Resolve discrepancies related to orders, invoices, and shipments by coordinating with vendors and internal teams.
- Maintain accurate and up-to-date purchasing records in ERP or internal systems.
- Support cost-saving initiatives and contribute to continuous process improvements within the purchasing function.
- Collaborate with accounting on invoice matching, including purchase orders, receipts, and invoices.
- Assist in basic contract-related activities such as reviewing terms and supporting contract documentation.
- Coordinate with internal stakeholders to understand purchasing needs and ensure procurement aligns with operational requirements.
- 1–2 years of experience in a purchasing, procurement, or office support role.
- Experience working in a manufacturing, distribution, or supply chain environment is preferred.
- Hands-on experience with purchase orders and purchasing processes.
- Comfortable working with ERP systems for purchasing and inventory management.
- Proficiency with Microsoft Excel, including use of pivot tables.
- Strong attention to detail with excellent organizational skills.
- Effective written and verbal communication skills for interaction with vendors and internal teams.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Experience with vendor management and supplier management activities.
- Basic understanding of contract and procurement principles.
- Ability to support project management efforts related to purchasing and procurement.
- Background in manufacturing, distribution, or supply chain operations is a strong plus.
- Experience supporting contract negotiation or contract administration is beneficial.
- Familiarity with procurement best practices and cost-saving strategies.
- Ability to work both independently and collaboratively across departments.
- Strong problem-solving skills to resolve discrepancies and improve processes.
- Interest in developing deeper expertise in procurement, vendor management, and project management.
