Office Administrator (Customer Support Focus)

Reports to: Customer Service Manager
Position Overview
We are seeking a detail‑oriented Office Administrator to support customer service operations and internal teams. This role serves as a key point of contact for customers, ensuring inquiries are handled efficiently while maintaining accurate sales and administrative records.
Key Responsibilities
- Serve as the primary contact for customers via phone, email, fax, and written correspondence
- Handle order entry, pricing inquiries, product availability, scheduling, delivery timelines, packaging, and shipping questions
- Process warranty claims and communicate current promotions and specials
- Maintain accurate sales documentation including invoices, credit information, and shipping records
- Coordinate with inventory control, production, and shipping teams to confirm delivery dates and track delayed or missing shipments
- Liaise with outside sales representatives and managers on behalf of customers
- Partner with the accounting team on receivables, collections, retailer chargebacks, and RGA processes related to customer complaints
- Utilize ERP systems and Microsoft Office tools (Excel and Word) to manage administrative tasks
- Maintain an organized, clean, and safe work environment
- Perform additional administrative or customer service duties as assigned
- Strong customer service and communication skills
- Experience working with ERP systems
- High attention to detail and strong organizational abilities
- Proficiency in data entry and general office administration
- Comfortable working in a fast‑paced office environment
- High School Diploma or GED
- Experience with AS400 (preferred)
- Familiarity with EDI programs
- Strong written communication and problem‑solving skills
- Adaptability, dependability, and consistent attendance
- Initiative and willingness to take on additional responsibilities
