Job Description
This Dispatch Assistant role focuses on dispatch support within a busy service organization, bridging the call center and dispatch teams while helping coordinate HVAC and plumbing service technicians. You will handle inbound customer calls, schedule service within a defined local radius, manage the dispatch board, and ensure technicians have accurate information for each job. This position offers the opportunity to grow into other administrative and sales support roles as the company continues to expand.
Responsibilities
This role is based in an office environment within a close-knit customer service department of approximately six employees who all work together in one room, so you should be comfortable working in close proximity to others. Standard hours are approximately 7:30 a.m. to 4:30 p.m., with rotational weekend coverage every sixth or seventh weekend. On scheduled weekends, you will typically work four-hour shifts on both Saturday and Sunday. For weeks that include weekend shifts, you may choose to earn overtime or take a weekday off in exchange. The team culture emphasizes collaboration, growth, and internal promotion, with future opportunities for advancement into other administrative and sales support roles as the company continues to grow. Dress is business casual, such as jeans paired with a neat shirt.

Responsibilities
- Handle inbound customer calls, typically 20–40 calls per day, and provide prompt, professional assistance.
- Respond to customer service requests within approximately a 50-mile radius of the Fargo/Moorhead area and accurately set up service appointments.
- Calm and support distraught or upset customers, listening carefully to their concerns and helping them feel comfortable and understood.
- Coordinate closely with both the call center and dispatch teams to help unify processes and communication.
- Assist in managing and updating the dispatch board to ensure service technicians are efficiently scheduled and routed.
- Enter accurate client and job information into the system during and after calls.
- Contact service technicians with details about their next job site and any updates or changes to their schedule.
- Support the cross-trained HVAC and plumbing teams by ensuring service requests are properly documented and assigned.
- Provide general administrative support to the customer service and dispatch departments as needed.
- Use Microsoft Office and other internal systems to document interactions, track service requests, and maintain organized records.
- Previous dispatch experience or experience in a skilled trade or service environment (such as HVAC, plumbing, or similar fields).
- Proven customer service skills, including handling inbound calls and supporting customers with varying levels of urgency.
- Strong phone skills with a calm, professional, and empathetic communication style.
- Proficiency with Microsoft Office applications for basic documentation and communication.
- Accurate data entry skills with attention to detail when capturing customer and job information.
- Ability to work effectively in a fast-paced environment where call volume can fluctuate significantly based on weather conditions.
- Strong organizational skills to manage multiple calls, schedules, and technician updates simultaneously.
- Previous administrative assistant or administrative support experience.
- Experience in a call center, customer support, or customer service environment.
- Ability to collaborate with cross-functional teams, including call center staff, dispatchers, and field technicians.
- Comfort with learning new systems and processes as the organization grows and cross-trains teams.
- Interest in long-term growth into roles such as sales assistant or other administrative positions.
