We are seeking a detail‑oriented Accounts Receivable Specialist to support our financial operations by managing customer payments, account reconciliations, and timely invoicing. This role plays a key part in maintaining accurate financial records, strengthening client relationships, and ensuring compliance with applicable financial standards. Integrity, confidentiality, and strong analytical skills are essential.
Key Responsibilities
Credit & Customer Setup
- Review, verify, and recommend customer credit limits and payment terms based on creditworthiness (D&B, applications, etc.).
- Send customer invoices via mail, email, EDI, and customer portals daily.
- Monitor and maintain invoicing accuracy across all EDI platforms.
- Retrieve daily bank activity related to customer payments.
- Process customer payments accurately in the sub-ledger.
- Reconcile cash receipts to banking data and address discrepancies promptly.
- Identify slow‑pay or delinquent accounts and recommend escalation or shipment holds.
- Communicate with customers regarding past‑due accounts to strengthen relationships and resolve issues.
- Prepare analytical reports and AR ratio analyses to help management assess collection performance.
- Respond to customer inquiries in a timely manner, including requests for:
- Invoice or statement copies
- Payment research or claims
- Proof of delivery / BOL documentation
- Research and process chargebacks and product returns.
- Assist with special projects and continuous improvement initiatives as assigned.
- Experience in Accounts Receivable, invoicing, cash applications, or accounting support
- Proficiency with ERP systems
- Strong customer service and communication skills
- Microsoft Office Suite (Excel, Word, Outlook)
- Ability to work in a fast‑paced, deadline‑driven environment
- Strong attention to detail and problem‑solving abilities
- Experience with Oracle or Epicor (nice to have)
