About Us:
We are a growing company in the coatings industry looking for a reliable and proactive Administrative Assistant to support our daily office operations. This is a hands-on role ideal for someone who is organized, detail-oriented, and comfortable working in a fast-paced environment.

Key Responsibilities:

  • Monitor emails and process customer orders in a timely and accurate manner
  • Answer and manage incoming phone calls professionally
  • Follow up with customers regarding order status and inquiries
  • Enter bills and maintain accurate records in QuickBooks
  • Coordinate logistics and shipments
  • Prepare Bills of Lading (BOLs) and obtain freight quotes from carriers
  • Create and process parcel shipments via FedEx Ground (labeling and dispatching)
  • Send tracking information to customers and monitor shipment status
  • Manage shipment-related emails and resolve delivery or carrier issues
  • File and follow up on carrier claims for damaged or lost shipments
  • Assist with general administrative tasks as needed

Qualifications:

  • Experience with QuickBooks (required or strongly preferred)
  • Experience in logistics, shipping, or warehouse coordination is a plus
  • Strong organizational and multitasking skills
  • Professional communication skills (phone and email)
  • Detail-oriented and proactive mindset
  • Reliable and punctual

Someone who takes initiative, stays on top of tasks without constant supervision, and communicates clearly with both customers and team members. This role requires someone who is hands-on and ready to take ownership of their responsibilities.
