About Us:
We are a growing company in the coatings industry looking for a reliable and proactive Administrative Assistant to support our daily office operations. This is a hands-on role ideal for someone who is organized, detail-oriented, and comfortable working in a fast-paced environment.
Key Responsibilities:
- Monitor emails and process customer orders in a timely and accurate manner
- Answer and manage incoming phone calls professionally
- Follow up with customers regarding order status and inquiries
- Enter bills and maintain accurate records in QuickBooks
- Coordinate logistics and shipments
- Prepare Bills of Lading (BOLs) and obtain freight quotes from carriers
- Create and process parcel shipments via FedEx Ground (labeling and dispatching)
- Send tracking information to customers and monitor shipment status
- Manage shipment-related emails and resolve delivery or carrier issues
- File and follow up on carrier claims for damaged or lost shipments
- Assist with general administrative tasks as needed
Qualifications:
- Experience with QuickBooks (required or strongly preferred)
- Experience in logistics, shipping, or warehouse coordination is a plus
- Strong organizational and multitasking skills
- Professional communication skills (phone and email)
- Detail-oriented and proactive mindset
- Reliable and punctual
