About Assure MSP
Assure MSP is a rapidly growing California-based low-voltage contractor specializing in security camera, access control, and surveillance system installations for commercial, healthcare, and municipal clients. Our project volume is growing fast, and we need a sharp, organized Project Coordinator to make sure our coordination capacity keeps pace with demand.
About the Role
You'll manage day-to-day coordination across the active project portfolio, from contract execution through final client sign-off. That means driving projects forward, managing client communication, coordinating schedules, and making sure every crew deploys with a complete job package, limiting surprises on site.
What You'll Do
Project Pipeline Management
• Maintain clear visibility into every active job—tracking each project from deposit received through final client sign-off and punch list completion
• Identify and resolve blockers: missing client info, material delays, site readiness gaps
• Prioritize and sequence projects to maximize crew utilization across all teams
Client Communication & Requirements Gathering
• Serve as the primary client contact during pre-install and installation phases
• Collect all required client-supplied information: access control matrices, door schedules, credential requirements, user lists, intercom call flows, network configurations, and site logistics
• Confirm site readiness (physical access, power, network, GC/facilities coordination)
• Communicate timeline updates proactively—the goal is no client ever calling us to ask what's happening
Scheduling & Logistics
• Manage the installation calendar in coordination with the Field Services Manager, balancing crew availability, project priority, and geography
• Schedule and coordinate equipment rentals (boom lifts, etc.) as needed
• Confirm all logistics are locked before committing to installation dates
• Coordinate scheduling of virtual client training sessions between trainers and clients
Pre-Installation Verification & Crew Handoff
• Execute a structured pre-install checklist: materials on hand, documentation complete, approvals secured, site confirmed ready
• Build complete job packages for field crews—plans, credentials, access details, site contacts, and special instructions
• Formally brief the Field Services Manager or crew lead on scope, site conditions, and client expectations before every deployment
Internal Coordination
• Route technical questions and configuration requirements to the engineering team
• Coordinate with receiving/preflight staff to confirm equipment is checked in and prepped
• Flag scope issues, change orders, or client-side delays to leadership in real time
Sales Team Communication
• Distribute a project status summary to the sales team on a weekly or twice-weekly cadence covering active project status, upcoming installations, and any client-side delays
• Keep the sales team informed so they can set accurate expectations with prospects and existing clients
• Direct detailed sales inquiries beyond the summary to the project tracking system
What We're Looking For
• 2 years of experience in project coordination, construction administration, or operations management—low-voltage, AV, IT, or security industry experience is a strong plus
• Proven ability to manage multiple concurrent projects and keep details from falling through the cracks
• Excellent written and verbal communication—you're comfortable being the face of the company to clients and general contractors
• Experience with PSA or project tracking platforms—ConnectWise is preferred; Autotask/Datto, HaloPSA, ServiceTitan, or similar experience also valued
• Strong organizational instincts: checklists, systems, and follow-through come naturally to you
• Comfortable working in a fast-paced, growing company where processes are still being built
