Job Title:                               Accounts Receivable, Grants Accountant 
Primary Work Location:      New York Hybrid, 3 days a week in our Bronx Office​​​​​​

Projected Salary Range:     $70,000 - $80,000/year

Position Summary:  AEA  is seeking a highly organized, detail-oriented and self-driven AR Grants Accountant to join our tight-knit, talented team of “Energy Geeks”. The AR Grants Accountant will be responsible for invoicing, receivables management, and cash receipts for AEA. This position is critical in a contract-driven organization, providing support to Programs in the preparation and submission of monthly and quarterly financial reports in compliance with grant requirements. This role is responsible for validating financial data, maintaining organized records across systems, and supporting general ledger accuracy. The role also supports the CFO and Sr. Grants Accountant on grant and general ledger reconciliations to ensure accuracy and audit readiness. 

Responsibilities: 

The AR Grants Accountant will: 

  • Prepare invoices for government contracts, program services, membership, and other billing needs, adhering to tight deadlines and compliance requirements. 

  • Track accounts receivable, monitor collections, and follow up on outstanding invoices to ensure timely reimbursement and healthy cash flow. 

  • Record deposits, apply payments to invoices, and maintain an accurate cash receipts log. 

  • Support the Sr. Grants Accountant in the reconciliation of the AR subledger, cash receipts, invoicing records, and grant/contract reporting. 

  • Collaborate closely with Program Managers to align program budgets with grant funding and support budget-to-actual analysis. 

  • Assist in supporting internal and external audits through meticulous financial documentation and controls. Maintain organized and audit-ready financial records across systems including SharePoint, and Folder Network 

  • Ensure contract compliance across invoice preparation, documentation, and reporting in accordance with federal, state, and local regulatory requirements. 

 

These job responsibilities may be revised over time to ensure the functional responsiveness of the AR Grants Accountant to AEA and Federal and State program requirements.  

Qualifications:

Minimum Requirements: 

  • Bachelor’s Degree from a 4-year accredited college, preferably in accounting, finance, economics, business administration, or in a related field 

  • 1-4 Years of prior experience in related finance or accounting support role 

  • Experience supporting nonprofit and funded organizations, with hands-on knowledge of NYS and/or federally funded grants and contract-driven financial reporting and invoicing (DHS, DOE, HHS) 

  • Proven experience in contract compliance, invoice preparation, documentation, and reporting 

  • Strong background in nonprofit fund accounting, grant budget management, expense allocation, and financial reconciliation  

  • Understanding of federal, state, and local regulatory requirements

  • Adaptable and comfortable learning new technologies, systems, and applications as needed. 

 

Must be able to legally work in the country where this position is located without visa sponsorship, although we may consider employment should there be a need for visa sponsorship.
