Position Summary: The surgical scheduler position is responsible for receive, contacting and scheduling patient for surgery in our practice.
Essential Functions Summary:
Under general direction, the Mohs Surgery Scheduler is responsible for scheduling and medical procedures. Provides support, and communicates necessary information to patients and physicians regarding surgery scheduling.
Position Requirements:
- Skills in data entry and EMR programs.
- Responsible for accurately scheduling, complex diagnostic tests/studies and/or surgical procedures.
- Ensure all pre-operative required tests needed prior to surgery, are scheduled and
- completed
- Conducts physician office/patient interviews, and explains hospital procedure guidelines and policies.
- Coordinates with clinical departments on schedule modifications.
- Responsible for obtaining complete and accurate clinical, demographic and financial information during the scheduling process.
- Enters data in scheduling system or other applications.
- Provides the customer with prep and other appointment instructions by communicating detailed information and answering patients' questions regarding surgery
- preparation instructions, arrival / departure instructions relative to procedure.
- Answers telephone calls according to designated scripting for the scheduling process. Maintains positive customer service at all times, referring unresolved issues to appropriate supervisor.
- Follows guidelines for special requests/Stat/schedule modification procedures and coordinates communications with clinical areas to accommodate the customers’ requests.
- Notifies customer of physician order, pre-authorization and other financial clearance requirements
- Maintain the surgery schedule, providing necessary information to patients and physicians.
- Conduct patient pre-certification on proper insurance approval for appointments and medical care.
- Advanced telephone, computer and multitasking skills when working with inbound and out bound calls.
- Must exhibit, demonstrate and maintain outstanding customer service skills
- Completes all other assigned tasks to ensure efficient department function and work flow.
- Escalates any billing/coding issues to billing specialist.
- Maintain acceptable levels of attendance and punctuality as specified in company and departmental policies.
- Meet routine deadlines and work schedules as well as timely and accurate completion of special projects and any other duties as assigned.
- Understand, support, enforce and comply with company policies, procedures and Standards of Business Ethics and Conduct.
- Display a positive attitude as well as professional, polite, considerate and courteous conduct and treatment of others in the course of duties
- Must possess a high school diploma or GED.
- Must have worked 1 year experience (preferable in dermatology) within a call center and front desk setting.
- Must be able to work independently and to maintain mental focus for long periods of time.
Physical Requirements:
Must possess strong English oral and written communication skills in order to communicate effectively with other medical staff and management. Eyesight must be sufficient to be able to read medical charts and computer monitors. Must possess manual dexterity sufficient to utilize reference materials and to type on keyboards.
