Position Summary:
The Front Desk Dental Receptionist is the first point of contact for patients and plays a crucial role in creating a positive patient experience. This role involves managing patient scheduling, coordinating communication, handling billing and insurance processes, and supporting overall front office efficiency.
Key Responsibilities:
- Greet patients warmly, check them in/out efficiently, and provide clear instructions regarding appointments and office procedures.
- Schedule, reschedule, and confirm patient appointments via phone, messaging, email, and in person.
- Manage multi-line phone system: answer calls promptly, address inquiries, and route calls appropriately.
- Process patient payments, co-pays, and balances accurately; prepare reports.
- Verify dental insurance benefits, assist patients with insurance paperwork, and coordinate claim submissions with insurance carriers.
- Maintain and update patient records in the practice management software, ensuring confidentiality and accuracy.
- Coordinate with clinical staff to manage patient flow and reduce wait times.
- Prepare daily appointment information and assist providers with patient documentation as needed.
- Maintain a clean, organized, and inviting reception and waiting areas.
- Address patient concerns with professionalism, escalating issues to management as appropriate.
- Participate in staff meetings and training to stay current with office policies, dental software updates, and customer service best practices.
- Perform other front office duties as assigned.

Qualifications & Skills:
- High school diploma or equivalent required.
- Previous experience in a dental office setting, ideally as a front desk receptionist or dental assistant preferred.
- Knowledge of dental insurance and billing procedures preferred.
- Demonstrated proficiency with dental office software and general office technology preferred.
Physical Requirements:
- Frequently sitting or standing for extended periods.
- Regularly using hands and fingers to operate a computer, telephone, and other office equipment.
- Occasionally lifting or moving items up to 20 pounds (e.g., office supplies, equipment).
- Ability to communicate effectively in person and over the phone.
- Visual acuity sufficient to read computer screens, paperwork, and patient charts.
