Job Overview
We are seeking a highly organized and detail-oriented Scheduling Coordinator to join our healthcare team. The ideal candidate will manage appointment scheduling, coordinate patient flow, and support clinical operations using various Electronic Health Record (EHR) systems. This role requires excellent communication skills, proficiency in medical administrative support, and a strong understanding of medical terminology and documentation review. The Scheduling Coordinator will ensure efficient clinic operations while maintaining compliance with HIPAA regulations and insurance verification protocols. Previous experience with medical office management, front desk responsibilities, and familiarity with dental or hospital settings is preferred.
Responsibilities
- Manage patient appointment scheduling across multiple EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix, and Eaglesoft.
- Verify insurance coverage and perform insurance verification to facilitate smooth patient intake and billing processes.
- Review and update medical records, care plans, and documentation to ensure accuracy and compliance with HIPAA standards.
- Coordinate with clinical staff to optimize appointment flow and minimize wait times.
- Handle patient inquiries via multi-line phone systems with professional phone etiquette; assist patients with scheduling changes or rescheduling needs.
- Support medical billing processes by reviewing CPT coding, ICD-9/10 coding, and ensuring proper documentation for billing submissions.
- Maintain accurate records of appointments, cancellations, and reschedules using office management software.
- Assist with front desk duties including filing, data entry (10 key typing), and managing patient check-in/check-out procedures.
- Support administrative tasks such as office management, filing, and maintaining organized medical records in compliance with health information management standards.
- Provide exceptional patient service by addressing concerns promptly and professionally while adhering to HIPAA guidelines.
Requirements
- Proven experience in medical office management or healthcare administrative support; clinic or dental office experience is highly desirable.
- Proficiency in EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Dentrix, Eaglesoft, or similar platforms.
- Strong knowledge of medical terminology, CPT coding, ICD coding (ICD-9/10), Medicare procedures, and insurance verification processes.
- Familiarity with health information management standards and HIPAA regulations to ensure confidentiality and compliance.
- Excellent computer skills including Microsoft Office Suite (Word, Excel), multi-line phone systems, typing (10 key), and filing systems.
- Bilingual abilities are a plus to effectively communicate with diverse patient populations.
- Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment.
