Personal Injury Intake & Medical Records Specialist Job Overview

We are seeking a highly organized, compassionate, and detail-oriented Personal Injury Intake & Medical Records Specialist to join our growing team. This position plays a critical role in supporting our personal injury department by serving as the first point of contact for prospective clients while coordinating insurance claims, medical records, police reports, and case documentation.

The ideal candidate is professional, empathetic, organized, and able to manage multiple tasks in a fast-paced environment while maintaining strict confidentiality.

This is a full-time, hourly, non-exempt W-2 position.

Responsibilities

  • Answer incoming calls from prospective personal injury clients.
  • Conduct initial intake interviews and collect accident, injury, insurance, medical treatment, witness, and contact information.
  • Open and report insurance claims following company procedures.
  • Request, organize, and track medical records and itemized billing statements.
  • Request and follow up on police reports and other case-related documentation.
  • Maintain accurate case notes and update case management software, including Filevine.
  • Track deadlines and ensure timely follow-up on outstanding records and documentation.
  • Communicate professionally with clients, insurance companies, healthcare providers, law enforcement agencies, and team members.
  • Identify missing information, delays, or other issues and report them to management promptly.
  • Assist with special projects and additional administrative duties as assigned.
  • Maintain compliance with company confidentiality, privacy, data security, attendance, timekeeping, and quality-control policies.

Qualifications

  • Excellent verbal and written communication skills.
  • Strong customer service skills.
  • Excellent organization and attention to detail.
  • Ability to multitask and prioritize assignments in a fast-paced environment.
  • Comfortable handling confidential medical and legal information.
  • Strong computer skills and the ability to learn case management software.
  • Experience with Filevine is preferred but not required.
  • Ability to work independently while collaborating with a team.
  • Professional and compassionate when communicating with injured or distressed individuals.
  • Previous experience in personal injury, legal support, medical records, insurance, healthcare, or customer service is preferred but not required.
  • Reliable transportation and the ability to consistently report to the Downtown Phoenix office as scheduled are required.

Employment Details

  • Employment Type: Full-time
  • Classification: Hourly, Non-Exempt
  • Employment Status: W-2 Employee
  • Starting Pay: $25.00 per hour
  • Schedule: Monday–Friday, 8:00 AM–4:30 PM
  • Meal Period: One-hour unpaid lunch
  • Work Location: Downtown Phoenix; in-office during the six-month introductory and training period

Compensation and Growth Opportunities

  • Paid training
  • Opportunity for a $0.50 per hour increase after successful completion of the six-month introductory period
  • Potential eligibility for quarterly performance-based bonuses
  • Potential eligibility for one approved remote workday per week after successful completion of the introductory period and management approval
