Position Overview

The Client Service Manager plays a central role in creating a thoughtful, organized, and welcoming experience for our clients and team. This person supports both the client relationship and the day-to-day operations of the firm—helping things run smoothly behind the scenes while also being a friendly, reliable point of contact.

This role is ideal for someone who is detail-oriented, tech-savvy, proactive, and enjoys supporting others in a collaborative, close-knit environment.

Key Responsibilities

Client Experience & Relationship Support

  • Serve as a primary point of contact for client service needs, questions, and requests.
  • Prepare for client meetings by gathering reports, updating financial planning software, and organizing materials.
  • Assist in preparing recap emails and follow-up items after meetings (supporting the advisor, not owning final delivery).
  • Support client onboarding, including document collection and coordination.
  • Send thoughtful client touches such as gifts, thank-you notes, and personalized follow-ups.
  • Help plan and coordinate client appreciation events, dinners, and special gatherings.

Operations & Office Support

  • Schedule client meetings and manage the advisor’s calendar.
  • Answer office phone calls and assist with general inquiries.
  • Sort and organize incoming mail and documents.
  • Assist with paperwork and forms as part of the overall process (not solely responsible for all paperwork).
  • Maintain organized digital and physical filing systems.
  • Support day-to-day office needs to keep everything running smoothly.

Technology & Systems

  • Use financial planning software (eMoney, RightCapital, MoneyGuide, etc.) to help update client information and reports.
  • Maintain accurate records in CRM and other systems.
  • Learn and adapt to new tools and processes as the firm evolves.

Advisor Support

  • Help prepare materials and data for client meetings.
  • Assist with follow-up tasks and tracking next steps.
  • Support ongoing organization of client plans and priorities.

Qualifications

Required

  • 2–5 years of experience in financial services or a similar client-facing, detail-oriented role.
  • Strong computer skills and comfort learning new systems.
  • Excellent communication and customer service skills.
  • Highly organized with strong attention to detail.
  • Ability to manage multiple responsibilities with care and follow-through.
  • Fingerprinting and background check are required.

Preferred

  • Experience with financial planning software (eMoney, RightCapital, MoneyGuide, etc.).
  • Familiarity with CRM systems (Wealthbox, Redtail, Salesforce).
  • Understanding of financial planning concepts.

Compensation, Benefits & Details

  • Competitive salary based on experience.

  • Monday-Thursday 8:30am-4:30pm, Friday 8:30am-1:30pm

Pay: $55,000.00 - $60,000.00 per year
