As the first point of contact for applicants entering the investigation process, the Applicant Intake & Data Coordination Specialist ensures that required National Background Investigation Services (NBIS) eApplication (eApp) platform submissions are initiated and completed on time. This role provides foundational experience in workflow management, professional communication, and process improvement while directly supporting senior security specialists.
This role provides full-time on-site support at NASA Headquarters in Washington, D.C.

Responsibilities
- Serve as the initial interface for applicants, providing clear instructions and timely support to help them successfully complete investigation data submission requirements.
- Organize and manage a continuous pipeline of incoming applicants, ensuring smooth onboarding, efficient communication, and regular follow-up.
- Monitor applicant progress to maintain a steady and reliable completion rate, escalating issues when necessary.
- Draft and deliver professional, easy-to-understand written communications, including reminders, instructions, and status updates.
- Assist in identifying opportunities to improve communication methods, tracking processes, and workflow efficiency.
- Ensure complete applicant responses and documentation for transfer to senior security specialists, ensuring accuracy and completeness.
- Maintain accurate logs, records, and updates in tracking systems to support reporting and audit requirements.
- Provide administrative support to the Office of Protective Services.
- Provide full-time on-site support during normal business hours.
- Exceptional attention to detail for accurate data entry and documentation review.
- Strong written communication to produce clear, professional messages and instructions.
- Organizational and time-management skills to track multiple applicants and deadlines simultaneously.
- Customer service orientation with the ability to assist applicants and staff professionally and patiently.
- Ability to follow established procedures while maintaining consistency and compliance.
- Proactive follow-up skills to ensure timely completion of required submissions.
- Basic proficiency with office software (email, spreadsheets, tracking tools, databases).
- Ability to identify minor process improvements and suggest practical solutions.
- Team collaboration skills to support security personnel and administrative staff.
- Discretion and reliability when handling sensitive or mission-critical information.
- Bachelors degree and 1-2 years of experience or 5-6 years of experience in lieu of degree.
- Secret Clearance: Candidate must possess or be able to obtain and maintain a Secret security clearance.
