The Equipment Coordinator performs technical and administrative tasks to support the operations of the Equipment Department. This position is responsible for maintaining accurate records, coordinating equipment movement, supporting maintenance activities, and assisting with daily departmental operations. Work is performed under the general supervision of the Equipment Manager and in support of the Equipment Superintendent and department staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Maintains accurate and timely records of vehicles, equipment, locations, assignments, utilization, and reporting within the company’s Computerized Management System (Vision-Link/Gearflow) and Enterprise Resource Planning (Vista) platforms.

  • Supports coordination and movement of equipment assets, including delivery, pickup, staging, and rental equipment usage between company personnel and job sites.

  • Assists with scheduling and tracking maintenance and repairs for company vehicles and equipment.

  • Supports fueling operations, including monitoring dispensing activity, compiling fuel logs, and assisting in monthly billing submittals.

  • Prepares where needed, submits, and reconciles monthly equipment billings and third-party rental invoices.

  • Assists with daily, weekly, and monthly administrative and operational tasks to support the Equipment Department.

  • Supports the company’s telematics programs by gathering data, monitoring activity, and assisting with routine reporting.

  • Collection and entry of equipment hour readings from project teams to support accurate preventive maintenance scheduling.

  • Supports coordination and delivery of parts and materials to equipment shop. Tracks, organizes, and labels materials, parts, and special-order items for delivery to shelving.

  • Coordinates travel and lodging arrangements as needed to support department activities.

  • Performs routine data entry, record updates, and document submittals associated with equipment and departmental operations.

  • Monitors consumable inventory and office supplies to ensure adequate stocking levels.

  • Provides quality service and support to the overall equipment operations team as needed.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of vehicles, heavy equipment, and related materials and supplies.

  • Knowledge of basic equipment operations, maintenance principles, and purchasing or requisition procedures.

  • Knowledge of applicable safety rules, regulations, and industry standards related to construction equipment.

  • Ability to maintain accurate records and perform detailed data entry with an important level of attention to accuracy and completeness.

  • Ability to organize and prioritize multiple tasks in a demanding environment.

  • Ability to research and interpret equipment specifications and condition information.

  • Ability to effectively communicate in both written and verbal communication.

  • Ability to establish and maintain effective working relationships with internal departments, project teams, and external vendors.

QUALIFICATIONS                                                                                                                            

  • High school diploma or equivalent required.

  • Additional technical or vocational training preferred.

  • Experience in equipment management, fleet coordination, construction operations, or related administrative support preferred.

  • Proficiency with computer systems, data entry, and common office software.

  • Understanding construction site demands, urgency in souring, field dispatching, and coordination.

PHYSICAL DEMANDS                                                                                                                     

  • Work typically performed in an office environment with periodic visits to shop or field locations.

  • May require lifting and movement of materials or equipment up to a specified weight (e.g., 25–50 lbs.).

  • Potential exposure to outdoor weather conditions and construction environments when supporting field or shop activities.

  • Regular use of computers, phones, and standard office equipment required.

  • May require overtime or weekend hours to support peak project schedules or breakdown emergencies.
