What are the responsibilities and job description for the Office Manager position at Aspire Caregiving?
Branch Administrator
Location: Eugene, Oregon
Company: Aspire Caregiving
Compensation: $70,000 base salary up to $10,000 annual performance bonus, paid quarterly
Aspire Caregiving is building a different standard for in-home care: dependable service, exceptional caregivers, and real peace of mind for the families we serve.
We are hiring a Branch Administrator to lead and scale our Eugene branch. This is not a desk-only administrative role. You will own the day-to-day quality of service, caregiver performance, client experience, and branch execution required to take Eugene from 250 to 750 weekly billable hours and from 17 to 35 active clients over the next nine months.
This is the right seat for a hungry, capable builder who wants real ownership, can lead people directly, and knows how to create order and momentum in a developing operation.
The mission of the role
Build a high-performing Eugene care-delivery operation where clients stay, caregivers succeed, schedules are filled, and the branch is ready to scale.
You will report to the Operations Manager and work closely with centralized scheduling, recruiting, compliance, billing, payroll, and sales support teams. You own the local service-delivery outcome. You will not be asked to personally run every function.
What you will own
- Client satisfaction, retention, and service quality in the Eugene branch
- Caregiver performance, accountability, coaching, discipline, and field-training expectations
- High-quality client assessments, caregiver evaluations, and client-caregiver matching
- Proactive client follow-up and rapid resolution of service concerns
- Clear staffing priorities to centralized recruiting and scheduling teams
- Building a reliable, accountable local caregiver team
- Monthly networking and ongoing relationships with senior-related community partners
- Supporting referral and community relationship development until a dedicated Eugene sales representative is in seat
- Direct supervision of a Eugene scheduler as the branch reaches the scale to support that seat
What success looks like
Within your first 90 days, you will:
- Establish consistent caregiver-performance standards, coaching, and accountability
- Improve the quality and consistency of client assessments, evaluations, matching, and follow-up
- Build strong operating rhythms with centralized scheduling and recruiting
- Know the caregiver, client, staffing, and service risks before they become emergencies
- Establish a monthly cadence of meaningful community-partner relationship activity
- Create clear evidence that Eugene is becoming a stable, scalable branch
Over nine months, you will help drive:
- Growth from 250 to 750 weekly billable hours
- Growth from 17 to 35 active clients
- 95% monthly client retention
- 90% client satisfaction
- 98% schedule fill rate
- 75% caregiver retention at 90 days
How performance is rewarded
You can earn up to $10,000 per year in performance bonus, paid quarterly.
The bonus is tied to the branch scorecard, with the strongest weighting on measurable branch growth:
- Weekly billable hours
- Active client growth
Bonus eligibility also requires strong performance on service-quality and operating standards, including client retention, client satisfaction, schedule fill rate, and caregiver retention. Growth that damages service quality does not count as success.
What you will not own alone
We have intentionally designed this seat for leverage rather than burnout.
- Central teams execute day-to-day scheduling, recruiting, compliance, billing, and payroll.
- You set the local priorities, hold the service standard, and ensure those functions produce the outcome Eugene needs.
- Weekend on-call coverage is handled by an on-call team. You are the second-level escalation point only when a true emergency cannot be resolved by the on-call person.
- A dedicated Eugene sales representative is planned as the branch leadership foundation is established. You will support referral and community relationships, but you will not be expected to carry the entire sales function indefinitely.
You may be a fit if you
- Have led people in a service-driven, fast-moving environment
- Have built, repaired, or scaled a team—not simply inherited a mature operation
- Are comfortable addressing poor performance quickly and directly
- Can balance empathy with high standards for caregivers, clients, and colleagues
- Know how to make sound decisions, take ownership, and communicate clearly
- Can see operational problems early and drive them to resolution
- Build trust with families, caregivers, and community partners
- Want meaningful responsibility and are energized by turning a developing branch into a high-performing operation
Home care, healthcare, senior services, staffing, hospitality, or other high-accountability service leadership experience is valuable. More important is clear evidence that you have led people, protected service quality, and produced measurable results in an environment where execution matters.
This role is not a fit if you
- Need a fully built team, polished systems, and constant direction before you can perform
- Avoid difficult conversations or tolerate weak performance
- Prefer to stay behind a desk rather than lead in the field when the situation requires it
- View client concerns, caregiver issues, or staffing gaps as someone else’s problem
- Want a title without accountability for measurable branch outcomes
Why Aspire Caregiving
You will have the chance to build a branch that delivers exceptional value to families and creates meaningful, dependable work for caregivers. You will be supported by centralized operational functions and an Operations Manager, while being trusted with genuine ownership of the Eugene branch’s service-delivery performance.
If you are a builder who can lead people, raise standards, and turn execution into results, we want to hear from you.
