Responsibilities

- Manage multi-line phone systems, greeting visitors with professional phone etiquette and providing excellent customer service.
- Coordinate calendar management and schedule appointments for staff and executives, ensuring optimal time utilization.
- Supervise administrative staff and support team training & development initiatives to enhance overall office productivity.
- Handle vendor management by negotiating contracts, processing invoices using QuickBooks or similar accounting software, and maintaining positive vendor relationships.
- Oversee human resources functions such as onboarding new employees, managing payroll processes, and supporting employee engagement efforts.
- Assist with budgeting and bookkeeping tasks to monitor office expenses and ensure financial accuracy.
- Plan and coordinate company events or meetings to foster team cohesion and promote organizational culture.
- Maintain accurate records through diligent filing systems and ensure compliance with organizational policies.
- Support medical or specialized office management duties if applicable, including patient or client scheduling and documentation.
- Manage office supplies inventory, order necessary materials, and ensure the workspace remains organized and efficient.
- Implement process improvements for schedule management, office procedures, and communication workflows to boost overall efficiency.
Experience
- Proven experience in office management or administrative roles with a strong background in clerical work, bookkeeping, or front desk operations.
- Supervising experience is essential; previous team leadership roles are highly valued.
- Familiarity with QuickBooks accounting software is preferred for handling invoicing and financial tracking.
- Demonstrated ability to manage complex schedules using calendar management tools effectively.
- Experience in vendor management, contract negotiation, and maintaining professional relationships with suppliers or service providers.
- Knowledge of human resources processes including payroll administration, onboarding procedures, and employee training programs.
- Strong organizational skills with attention to detail in filing systems, record keeping, and document management.
