**Overview:**
We are looking for an Assistant Executive Director at Aspen Acres , who will be responsible for supporting the Administrator in overseeing the day-to-day operations, including Caregivers, Dietary staff, Activity staff, and support staff. This role includes assuming day-to-day supervision in the absence of the Administrator.
Reports to: This position directly reports to the Administrator of Aspen Acres.
Position Summary: Direct community operations in alignment with Aspen Acres's policies, procedures, mission, and philosophy. Lead and inspire team members to deliver high-quality care and services to residents, ensuring customer satisfaction. Contribute to developing strategies for regulatory compliance.
Primary Responsibilities:
Customer Service:
- Ensure resident safety and well-being in accordance with Aspen Acres's standards of care.
- Collaborate with the Administrator to address identified opportunities for improvement.
- Represent Aspen Acres positively to residents, families, visitors, and build strong relationships.
- Maintain open communication with residents, families, and care partners.
- Lead resident/family care conferences as needed to update Individual Service Plans.
- Address and report any customer concerns or grievances to the Administrator promptly.
- Provide hands-on care to residents when necessary, including coverage for caregivers or kitchen staff.
General Management:
- Implement Aspen Acres's policies and procedures consistently.
- Contribute to budget management and operational action plans.
- Support marketing efforts by fostering relationships with local referral sources.
- Prepare regular reports as required.
- Maintain accurate resident files.
- Participate in on-call duties on a rotational basis, including weekends and holidays as per schedule.
- Attend weekly meetings with the Administrator and Owners.
- Track and communicate resident health statuses during hospital visits or emergencies.
- Perform follow-ups on Extended Care Professional (ECP) processes and Narcotic counts.
- Accept and verify medication orders.
Hiring, Supervision, and Training:
- Assist in achieving staffing goals through recruitment, interviewing, hiring, and training.
- Lead by example, promote teamwork, and uphold Aspen Acres's care philosophy.
- Motivate employees through recognition, training, and team-building activities.
- Manage scheduling for caregivers and support staff.
- Conduct performance appraisals at 30-60-90 days and annual anniversaries.
- Address employee concerns promptly and escalate issues to the Administrator when necessary.
- Maintain complete and updated employee records.
- Ensure employee satisfaction and compliance with Aspen Acres's policies and regulations.
- Document all training activities thoroughly.
- Promote and maintain a safe work environment in compliance with regulations.
Revenue and Expense Management:
- Support sales efforts by assisting with resident move-ins.
- Facilitate resident admissions as required.
- Implement cost-effective practices as directed by management.
- Manage inventory of supplies for staff and residents.
- Place orders with approved suppliers and local vendors as needed.
- Record payments for monthly rent from families and residents accurately.
- Manage Petty Cash responsibly.
- Utilize Aspen Acres's debit card for authorized purchases.
Reporting Responsibilities:
- Notify owners promptly of any potential regulatory or legal concerns.
- Report resident hospital admissions and returns.
- Document medication errors (excluding "found" medications).
- Report significant changes in resident conditions.
- Notify of any indication that a resident may not meet financial obligations.
- Communicate changes in resident Individual Service Plans affecting rates.
- Address any concerns indicating dissatisfaction with Aspen Acres.
- Inform owners of significant building maintenance issues affecting residents or staff.
Physical Job Requirements: To meet job demands, employees must perform key physical tasks as required. Proper body mechanics and safety measures prescribed by Aspen Acres must be adhered to when supporting, lifting, or transferring residents.
Qualifications:
- Experience in healthcare-related fields.
- Strong leadership and communication skills.
- Genuine care and compassion for others.
Knowledge Requirements:
- Completion of any required management training.
- DHS 83.15 Administrator course if applicable.
- Maintain 15 hours of continuing education annually.
- Stay updated on federal and state laws pertaining to assisted living.
- Completion of OSHA Standard Precautions, Fire Safety, First Aid, and Medication Management and Administration trainings.
