Office Administrator – Mission Critical Facility
About the Role
My client is seeking an Office Administrator to act as the organisational backbone of their workplace, managing administrative operations, supporting staff and leadership, and ensuring smooth day-to-day functionality. This is a full-time onsite role supporting a 24/7 Tier III mission-critical facility.
The ideal candidate will bring a proactive mindset, multitasking wizardry, and an obsession with efficiency to a fast-paced, collaborative, and innovation-driven environment.
Key Responsibilities
- Streamline internal operations using modern collaboration tools (e.g., Slack, Microsoft Teams, Google Workspace).
- Manage office logistics including scheduling, inventory, and digital records.
- Support finance and HR functions with expense tracking, onboarding, and timesheet coordination.
- Interface with vendors for IT equipment and facility services.
- Assist in creating presentations and reports for cross-functional meetings and client engagements.
- Coordinate company events, town halls, and hybrid team meetups.
- Maintain confidentiality while managing sensitive documents and employee data.
- Support compliance with cybersecurity best practices and internal data handling policies.
- Prepare and submit expense reports, purchase requests, and operational dashboards.
- Contribute to process improvements through automation tools and workflow optimisation.
Qualifications
- Associate’s or Bachelor’s degree in Business, Communications, or related field (preferred).
- 2 years’ experience in a startup, tech firm, or fast-moving office support role.
- Strong skills in Microsoft Office or Google Suite, scheduling tools, and CRM/ERP systems.
- Excellent written and verbal communication skills.
- Administrative or bookkeeping certifications are a plus, but not required.
