The Ashland Independent Film Festival is looking for a collaborative and detail-oriented Development Coordinator to support our fundraising work in Ashland, Oregon. This role helps coordinate sponsorships, memberships, and campaigns while ensuring communications and records are handled with care.

Primary Responsibilities:
Development Support
- Support fundraising events in collaboration with staff and leadership.
- Support marketing efforts in collaboration with staff and leadership for end-of-year campaigns,
- annual memberships, and in-kind and corporate sponsorships.
Corporate & In-Kind Sponsorships
- Serve as sponsor concierge -- Manage relationships, fulfill sponsorship benefits, and provide on-site support before and during the festival.
- Assist in establishing, securing, and coordinating in-kind contributions such as hospitality suite amenities and housing, both leading up to and during the festival.
- Ensure all sponsor deliverables, including promotional benefits, are accurately tracked and fulfilled.
- Maintain detailed records of in-kind contributions and ensure timely acknowledgments and thank-you communications.
- Some event support around festival time.
Membership & Campaigns
- Collaborate with staff to integrate, monitor, and report on membership strategies within overall revenue goals.
- Coordinate staffing and logistics for membership-related events and activities.
- Monitor and maintain records, for accurate benefits.
- Provide assistance and communications to the general public and members when membership support is needed in the role of membership concierge.
- Secure Managing Director approval prior to launching any campaigns, events, or public-facing fundraising materials.
- Some event support around festival time.
Reporting
- Assist MD with regular fundraising and revenue reports and proper gift processing.
- Support with data entry to monitor awarded and pending grants for overall fundraising reports
- Ensure that all donations, in-kinds, sponsorships, and gift records are properly documented and
- maintained throughout the year.
Ethics & Compliance
- Adhere to AIFF’s conflict of interest and donor engagement policies.
- Do not engage in or support fundraising for personal, external, or partner projects using AIFF’s relationships, resources, platforms, donors, filmmakers, producers, or alumni.
Required Qualifications:
- Bachelor’s degree in a related field preferred; an equivalent combination of education and relevant professional experience will be considered.
- Experience in development, fundraising support, marketing, event coordination, or nonprofit ad-
- ministration, ideally 1–2 years in a coordination or administrative role.
- Strong written and verbal communication skills, with the ability to create clear and engaging materials for sponsors, members, and community partners.
- Intercultural competency with the ability to engage respectfully with diverse audiences.
- Excellent organizational skills and attention to detail, especially in record keeping, tracking sponsorship deliverables, maintaining accurate databases, and managing timelines.
- Familiarity with fundraising software, donor or membership databases, CRM systems, or a willingness to learn these tools.
- Experience supporting corporate sponsorships, in-kind contributions, or membership programs is preferred.
- Comfortable working collaboratively within a small team and supporting multiple staff members and committees.
- Ability to communicate professionally with sponsors, community partners, and local businesses.
- Enthusiasm for independent filmmaking, the arts community, and cultural engagement.
- This role provides opportunities to grow development and fundraising skills.
Additional Duties:
This is a full-time position with work largely performed in a traditional office environment, at the AIFF
Ashland office. This position has the potential to be hybrid, with an expectation that some prospective donor meetings may occur in off-site professional environments. As an events-driven organization, the AIFF work schedule varies depending upon the activities of the season and day. Weekend
and evening events will occur, and the Development Coordinator may be expected to attend. This
work expects a slight increase in activity around the annual film festival. The candidate may use
office equipment, keyboards, and phones and may involve lifting/carrying of packages and walking
short distances. They must have reliable transportation to get to work and sign the AIFF transportation agreement to use their vehicle for events or other obligations. This document is not designed to

This role includes festival perks for our 2026 festival such as a complimentary festival pass, access

that this role will continue beyond the initial term; however, we cannot guarantee ongoing employ-
