Role Description: VP of Operations
As Vice President of Operations, you will be a foundational hire responsible for building and scaling the operational backbone of the company. Reporting directly to the CEO and Chief Strategy Officer, you will own:
- Business operations and process development, establishing repeatable workflows for customer onboarding, contract management, renewals, and compliance documentation
- Client success and relationship management, owning post-sale customer relationships, ensuring successful AshMatics deployments, and serving as the voice of the customer internally
- Go-to-market support, coordinating conference logistics, speaking engagements, partnership development, and investor relations activities
This role requires a self-starter who thrives in ambiguity, can build from scratch, and is comfortable wearing multiple hats in a lean, bootstrapped environment.
Employment Type: Full-Time Employee (foundational hire with options/equity)
Experience:
- Proven experience (10 years) of operations, client success, or business development experience in healthcare; startup or early-stage company experience strongly preferred
- Demonstrated experience building operational processes and workflows from scratch
- Deep understanding of enterprise healthcare industry dynamics, buying cycles, and stakeholder complexity (IT, clinical, compliance, procurement)
- Experience supporting enterprise customer diligence, including security, privacy, and compliance reviews
- Experience with CRM systems, project management tools, and operational software
- Experience with government contracting, GSA processes, or healthcare regulatory compliance
- Experience operating in regulated technology environments, in health IT, medical devices, or clinical AI/software as a medical device (SaMD)
Education:
- Bachelor's degree in business administration, operations management, healthcare administration, or related field
- MBA or graduate degree in healthcare administration, operations, or related field
Responsibilities:
- Design and implement operational processes, SOPs, and documentation to support company scaling
- Manage customer onboarding, training, and ongoing success activities for AshMatics Suite deployments
- Build and maintain relationships with healthcare organization stakeholders across IT, clinical, and compliance functions
- Gather and synthesize customer feedback to inform product roadmap priorities
- Support partnership development activities with organizations such as academic medical centers, health systems, and technology partners
- Coordinate conference participation, speaking opportunities, and marketing logistics
- Manage vendor relationships, operational budgets, and administrative functions
- Support GSA/government contracting processes and compliance documentation as needed
- Prepare and coordinate materials for investor outreach and pitch activities
- Identify and manage renewal conversations and expansion opportunities with existing customers
- Own operational readiness for security, privacy, and regulatory compliance, including HIPAA, BAAs, customer due diligence, and internal controls supporting clinical AI governance
- Partner with the Chief Technology Officer to support security and compliance frameworks (e.g., SOC 2 readiness, risk assessments, audit preparation) appropriate to company stage and customer requirements
- Support cross functional initiatives sharing experience and expertise as needed.
Qualifications:
Operational & Process Building
- Has built SOPs, playbooks, or operational documentation from scratch in regulated healthcare or health-tech environments (not just inherited existing processes)
- End-to-end ownership of commercial contracts: drafting, redlining, negotiation support, tracking renewal
- Comfort with lightweight tooling—Google Workspace, Notion, Airtable, or similar—rather than requiring enterprise systems
- Budget and vendor management experience.
Healthcare Industry Knowledge
- Understanding of how HCOs make purchasing decisions (the IT vs. clinical vs. compliance triangle)
- Familiarity with procurement timelines in healthcare (6-18 month cycles are common)
- Industry experience as health IT vendors, imaging informatics, or SaMD companies
- Awareness of HIPAA, BAAs, and basic compliance requirements for vendor relationships
Client Success & Relationship Management
- Owned customer relationships post-sale, with accountability for onboarding success, adoption, value creation and renewal
- Owned the customer feedback loop end-to-end, synthesizing input across customers and translating it into clear, prioritized recommendations for product and operations
- Experience conducting QBRs, gathering feedback, and translating it into actionable product input
- Comfort having difficult conversations—scope creep, renewals, pricing
- Track record of retention or expansion in previous roles
Go-to-Market & Business Development Support
- Assisted in the coordination of conference logistics, booth presence, or speaking submissions
- Prepared investor or board-level materials, pitch decks, or partnership proposals
- Managed external communications professionally with minimal oversight
