Standards & Ethics Program Coordinator

I. Purpose 

This position provides administrative and program support to ASHA’s Accreditation, Certification, and Ethics teams within the Standards & Ethics cluster. These services assist the team’s efforts to provide timely information about the work of the accreditation, certification, and ethics programs. 

II. Key Responsibilities 

  1. Coordinate the creation and/or mailing/emailing of correspondence and documents (e.g., drafting, formatting, mail merging, and printing). Review such correspondence and documents with coach or team leader to ensure accuracy and compliance with ASHA brand guidelines.
  2. Create and maintain records, run reports, and manipulate key data for volunteer members and programs using the Association’s member database.
  3. Assist in the preparation and planning of (a) committee/board/council meetings, (b) program-related meetings, and (c) internal meetings held at the ASHA National Office. Provide logistical support to teams and volunteer members pre- and post-meeting, including coordinating travel communications and monitoring and processing travel expense submissions.
  4. Assist ex officios with the preparation and planning of and attendance at external meetings and events, including the ASHA Annual Convention. Coordinate logistics, including the packing and shipping of meeting materials.
  5. Assist the Director, Communications & Administration with editing the Association’s webpages in the Standards & Ethics channel.
  6. Track, compile, and prepare data from a variety of sources (e.g., online scheduling and survey tools).
  7. Assist in developing and documenting team and program workflow processes and procedures. 
  8. Use online collaborative sites to post messaging or to upload, edit, and archive documents (some sensitive or confidential) for teams, programs, and committees/boards/councils.
  9. Provide broad administrative support to the Standards & Ethics cluster (e.g., purchasing supplies, processing vendor invoices, coordinating participation for virtual meetings, generating check requests, monitoring proxy boxes).

III. Position within ASHA 

This position is on the Administration and Communications Team—within the Ethics Team—and part of the Standards and Ethics cluster. Reports to the Director, Standards & Ethics Communications and Administration. This position has no direct reports.

IV. Autonomy & Decision Making:

The incumbent works under general supervision and as part of a team on special and ongoing tasks and projects.

V. Qualifications & Skills

Knowledge typically acquired through:

  • 2–4 years related experience providing administrative support and program coordination in either a nonprofit association or a corporate organization.
  • Experience managing multiple assignments at the same time with different deadlines and requirements.
  • Successful completion of a bachelor’s degree or related experience.
  • Experience in communicating with higher education faculty and administration and/or members of professional associations preferred.

Skills

  • Proficient in MS Office, Association Management Systems, and online collaboration sites. 
  • Attention to detail is critical, along with the ability to efficiently manage tasks across multiple deadlines and teams.
  • Demonstrates excellent oral and written communications skills, and can format/edit documents and proofread effectively.
  • Proven ability to prioritize work and responsibilities to meet deadlines and keep projects running smoothly.
  • Proactively approaches recurring tasks and assignments.
  • Comfortable learning and using new applications and technology.
  • Experience keeping sensitive and confidential information confidential.
  • Interacts in a professional manner with ASHA staff, volunteer leaders/members, program directors and faculty of ASHA-accredited academic programs, and vendors.
