Job Summary
We are a growing financial advisory firm seeking a strategic and execution-focused Director of Operations. This individual will be responsible for designing, implementing and managing the infrastructure needed to support expansion, improve efficiency, and enhance client and advisor experiences.
The ideal candidate is both a big-picture thinker and a hands-on operator –someone who can translate vision into action, build systems and lead initiatives that position the firm for long-term success.
Key Responsibilities
- Partner with executive leadership to develop and execute the firm’s growth and expansion strategy.
- Translate strategic intitiaves into actionable operational plans with measurable outcomes
- Oversee day-to-day business operations to ensure efficiency, consistency, and scalability. (and serve as a primary point of contact for advisors and staff; escalate issues to Partners/leadership as needed.)
- Establish and monitor KPIs to track performance and inform decision- making.
- Evaluate and optimize technology platforms (CRM, reporting systems, etc.)
- Build scalable infrastructure to support advisor growth and client acquisition.
- Lead and develop operations, client service, and administrative teams.
- Analyze the effectiveness of existing processes, tools, spreadsheets, and systems; identify and implement improvements to streamline workflows across departments (Advisors, Service, Implementation, Communications).
- Spearhead long-term business projects from ideation through execution, including scoping work, assigning tasks, and coordinating resources (internal and external).
- Develop, document, and enforce operational policies, procedures, and internal controls to ensure consistency, efficiency, and compliance.
- Maintain accurate financial records in QuickBooks, including general ledger activities and reconciliations; monitor cash flow, accounts payable/receivable, expenses, and operational budgets.
- Oversee payroll processing and related administration; ensure compliance with federal, state, and local requirements and maintain appropriate confidentiality.
- Manage and optimize Salesforce (CRM) data integrity, reporting, and workflows, support operational tracking and firm initiatives.
- Utilize Microsoft applications (Excel, Word, Outlook, Teams, PowerPoint, CoPilot) to produce reporting, analysis, documentation, and communications.
- Lead hiring/recruiting coordination for advisors and staff in alignment with Partner-defined processes; support onboarding and training as needed.
- Lead, mentor, and oversee interns and operations staff; support training, cross-functional coordination, and a positive, high-performing work environment.
- Plan and facilitate regular meetings (in-person and via Microsoft Teams), including partner/member/staff meetings and quarterly 1:1 check-ins and reviews.
- Manage vendor relationships, shared expenses, and team purchasing/orders; coordinate office and client-facing supplies as needed
- Engage in continuous learning through workshops, conferences/webinars (e.g., EAG Leaders, Administrative & Operations), and peer leader collaboration; share and implement best practices.
- Coordinate team appreciation activities and events as applicable.
Required Qualifications
- Bachelor’s degree in business administration, Finance, Operations, Accounting, or a related field required; MBA or advanced degree preferred.
- 10 years of experience in operations management, preferably within a financial advisory, wealth management or financial services firm.
- Proven experience in scaling operations in a growing organization
- Strong project management and process improvement expertise
- Deep understanding of advisory firm operations, including client service, technology and compliance frameworks.
- Strong working knowledge of QuickBooks, including reporting and reconciliations
- Hands-on experience with payroll systems and processes
- Proficiency in Salesforce (CRM) for operational tracking, reporting, and data management
- Advanced proficiency in Microsoft applications, particularly Excel for analysis and reporting
- Strong understanding of internal controls, compliance, and operational best practices
- Excellent organizational, analytical, and problem-solving skills
- Maintain high productivity/motivation
- Experience integrating or improving CRM and financial systems
- Familiarity with payroll systems
