II. SUMMARY OF POSITION’S PURPOSE
Performs various clerical and office procedures related to insurance based human resources activities.
III. MINIMUM QUALIFICATIONS
1. EDUCATION/CERTIFICATION – High School Diploma
2. EXPERIENCE – 0 to 6 months of basic work experience
3. SKILLS – Basic knowledge of insurance based products to include medical, life, long term disability, catastrophic illness and 403b plans.
IV. DUTIES AND RESPONSIBILITIES
- Performs a wide variety of clerical activities related to the insurance processing function including, but not limited to, typing, filing, opening/prioritizing mail, faxing, copying and forms completion.
- Assists in the organization, tracking and maintenance of applicant, employee, and retiree information, which includes:
- Assisting the director in processing applications and delivering eligible candidate information to the appropriate principal/supervisor.
- Assisting the director in organizing and facilitating onsite job fairs and assisting in university recruiting
- Processing recommendations for hire and assisting in new employee orientation.
- Enrolling and maintaining employee and retiree coverage in various insurance programs and retirement systems.
- Assisting employees in the DROP/retirement process and ensuring all paperwork is complete and submitted timely.
- Assisting employee, retirees and their family members with status changes and life events, and processing the changes in the APSB system and with appropriate insurance carriers and retirement systems.
- Scanning and indexing all human resource employee information into appropriate file
- Audits, verifies, and certifies sick leave and service with the retirement systems
- Assists payroll department in calculating salary, benefits, and severance pay.
- Assists the director in advertising and hiring process for open positions
- Assists with the “open enrollment” process for insurance based employee benefit programs.
- Reconcile invoices from various insurers/vendors to insure proper coverage and premium payment
- Reconciles and reports monthly salaries to the appropriate retirement system.
- Handles new employee enrollment procedures.
- Answers insurance/403b based questions from employees and retirees.
- Provides courteous and prompt service to all internal and external customers including students, parents, co-workers, etc. Schedules and/or attends conferences with parents. Prioritizes and addresses requests and assignments in a professional manner to develop cooperative relationships and to ensure that student and employee records confidentiality is assured.
- Remains current on employment law. Understands employee benefits and is able to answer questions from employees regarding benefit matters. Has a thorough understanding of Ascension Parish School Board personnel policies.
- Identifies opportunities and recommends methods to improve service, work processes and financial performance, e.g. expense management. Assists in the implementation of quality improvement initiatives.
- Assists co-workers in the completion of tasks and assignments to ensure continuity of service. Orients new co-workers and actively supports teamwork through the school system.
