Role Overview
At Ascendyn Advertising, we believe every touchpoint with a client matters — and this role is responsible for the most important one. We're looking for a polished, personable, and highly organized Director of First Impressions to represent our brand from the moment someone walks through the door or picks up the phone. This isn't a traditional receptionist role. This person is a client experience strategist and the organizational heartbeat of our office — someone who doesn't just maintain the standard, but continuously looks for ways to raise it.
Key Responsibilities
Brand & Client Communications
- Serve as the first point of contact for all inbound calls, emails, and in-person visits
- Represent the Ascendyn Advertising brand with consistency, warmth, and professionalism at every interaction
- Manage voicemails and the general company inbox with timely, professional responses
Scheduling & Coordination
- Manage the team calendar, proactively handling appointments and preventing scheduling conflicts
- Confirm client appointments and send timely, professional reminders
- Coordinate and prepare for all internal and client-facing meetings
Client Retention & Experience Program
- Lead the client milestone program — including birthday cards, holiday cards, thank-you notes, and other meaningful touchpoints
- Develop and maintain a client milestone calendar to ensure no key date is missed
- Lead the client onboarding experience including welcome packets and intake coordination
- Continuously evaluate and improve the client experience between meetings, identifying new opportunities to strengthen relationships
Project & Administrative Support
- Manage project task boards and proactively follow up on deadlines to keep the team on track
- Maintain accurate and up-to-date CRM records
- Prepare documents, proposals, and materials for client-facing meetings
- Coordinate with vendors as needed (printers, media reps, etc.)
Office & Client-Ready Environment
- Ensure the office is consistently presentation-ready for clients and guests — from common areas to conference room setups
- Manage office supplies, incoming/outgoing mail, and day-to-day operational needs that support a professional environment
Qualifications
- 2–4 years of experience in a client-facing, administrative, or hospitality role
- Experience with CRM software
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Drive)
- Familiarity with project management platforms (Asana or similar)
- Excellent written and verbal communication skills
- Strong organizational skills and meticulous attention to detail
- Polished, professional presentation with genuine warmth toward clients and guests
- A proactive mindset — someone who identifies gaps and fills them without being asked
Bonus Points
- Experience working in a marketing, advertising, or creative agency
- Familiarity with direct response advertising concepts
- Experience managing a client gifting or retention program
