Job Summary:
The Inventory Specialist supports the AscendVets mission, vision, and core values by maintaining accurate inventory records and ensuring efficient flow of supplies within the hospital. This position plays a key role in ensuring medical and office materials are available when needed by monitoring stock levels, placing orders at designated reorder points, and accurately receiving inventory in the practice management system. The Inventory Specialist will work closely with the Practice Manager and medical team to maintain an organized and cost-effective inventory process that supports excellent patient care.
Reports to: Director of Operations, Practice Owners
Duties/Responsibilities:
- Perform monthly physical counts of all hospital inventory and reconcile with digital records.
- Monitor inventory levels and reorder items when they reach predetermined reorder points.
- Accurately receive incoming orders, verifying quantities and condition of materials.
- Enter received items into the practice management system and update vendor invoices as needed.
- Maintain organized and labeled storage areas for medical and office supplies.
- Track lot numbers, expiration dates, and ensure proper stock rotation (FIFO method).
- Communicate discrepancies or delays in shipments to the Practice Manager.
- Work with vendors to resolve backorders or substitutions.
- Dispose of expired or damaged items following hospital and safety protocols.
- Work closely with the medical and client care teams to anticipate supply needs based on upcoming appointments and procedures.
- Provide regular inventory reports and updates to the Practice Manager.
Education and Experience:
- High school diploma or equivalent required.
- Previous experience in veterinary, medical, or retail inventory management preferred.
- Familiarity with veterinary practice management software (e.g., Cornerstone, ezyVet, Avimark) a plus.
- Basic computer literacy including Excel and inventory tracking tools.

- Excellent organizational and time-management skills.
- Effective communication and teamwork skills.
- Ability to lift and move boxes up to 40 lbs.
- Comfortable working in a fast-paced veterinary environment.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 40 pounds at times
- Standing, bending and walking for extended periods during inventory counts and organization.
- May be exposed to mild chemical odors and medial supplies typical of a veterinary environment.
