The Facilities Assistant is responsible for supporting the day-to-day operations, maintenance, and safety of company facilities. This role coordinates vendor services, responds to facility-related requests, ensures compliance with health and safety standards, and helps maintain a productive and well-functioning work environment.
Key Responsibilities
- Coordinate routine maintenance, repairs, and inspections of buildings, equipment, and facilities
- Serve as the primary point of contact for facility-related issues and service requests
- Manage relationships with vendors, contractors, and service providers; track work orders and follow up to completion
- Assist with space planning, office moves, and workstation setup
- Monitor facility systems (HVAC, lighting, security, fire/life safety) and escalate issues as needed
- Support compliance with safety, health, and environmental regulations; assist with audits and inspections
- Maintain facilities documentation, service logs, and inventory of supplies and equipment
- Support emergency response procedures and business continuity planning
- Assist with facilities-related budgeting, invoicing, and expense tracking
- Collaborate with internal teams such as IT, HR, Security, and Operations
Qualifications
- Associate’s or Bachelor’s degree in Facilities Management, Business Administration, or a related field (or equivalent experience)
- 2 years of experience in facilities coordination, office operations, or property management
- Strong organizational and multitasking skills with attention to detail
- Excellent communication and customer service skills
- Ability to manage multiple vendors and priorities in a fast-paced environment
- Proficiency in Microsoft Office and facilities management systems (CMMS preferred)
- Basic understanding of building systems, safety standards, and maintenance practices
