Position Summary

The Student Support Services Coordinator (SSSC) is responsible for ensuring participant success, retention, compliance, and documentation throughout the Illinois Works Pre-Apprenticeship Program lifecycle. This position serves as the primary coordinator for student support services, academic monitoring, attendance compliance, wrap-around services, and red-flag resolution in alignment with Illinois Works Program (ILWPP) requirements.

The SSSC plays a critical role in monitoring participant progress, addressing academic and non-academic barriers, maintaining compliance within the Illinois Works Reporting System (IWRS), and supporting successful program completion and transition outcomes.

Essential Duties & Responsibilities1. Student Support Services & Academic Monitoring

  • Provide and coordinate student support services to address academic barriers, attendance issues, and performance concerns.
  • Monitor participant progress to ensure:
  • Minimum 80% attendance per module
  • 70% or higher post-assessment scores
  • Compliance with 100% attendance requirements for certifications such as OSHA-10
  • Identify students requiring:
  • Tutoring
  • Make-up instruction
  • Post-assessment retakes
  • Academic intervention services
  • Coordinate tutoring and academic supports in collaboration with instructors and program staff.
  • Ensure all student support services are accurately documented in IWRS.

2. Attendance Monitoring & Compliance

  • Monitor daily attendance using Illinois Works Attendance Rosters

Verify:

  • Attendance excludes breaks and lunches
  • Rosters are signed and dated by instructors
  • Rosters are uploaded into IWRS timely
  • Identify attendance red flags and initiate corrective action.
  • Coordinate make-up sessions when attendance thresholds are not met.
  • Ensure attendance requirements are clearly communicated and documented in participant Commitment Agreements.

3. Red Flag Identification & Resolution

  • Monitor IWRS dashboards for red flags related to:
  • Attendance
  • Academic performance
  • Missed assessments
  • Conduct one-on-one meetings with participants to identify root causes.
  • Assign and document appropriate student support services in IWRS.
  • Coordinate with Workforce Support Coordinators (WSCs) when non-academic barriers are identified.
  • Close red flags only when compliance thresholds are met and properly documented.

4. Orientation & Intake Support

  • Support or facilitate Orientation in coordination with Program Leadership.
  • Ensure participants complete:
  • Orientation Career Assessment
  • Wrap-Around Services Assessment
  • Commitment Agreement (FERPA compliant)
  • Verify that Orientation requirements are entered into IWRS with a 100% completion score.
  • Ensure Orientation documentation is uploaded and complete prior to enrollment approval.

5. Documentation & IWRS Data Integrity

  • Ensure accurate and timely entry of:
  • Student support services
  • Attendance records
  • Post-assessment scores
  • Support service outcomes
  • Maintain compliance with IWRS data standards:
  • Accuracy
  • Timeliness
  • Completeness
  • Enter case notes for:
  • Unsuccessful services
  • Evaluated/Not Required services
  • Special circumstances
  • Support Data Entry Coordinator (DEC) with verification and audits.

6. ADA Compliance & Accessibility Support

  • Assisting in accommodation requests
  • Coordinating reasonable accommodations
  • Ensuring documentation is maintained
  • Maintain confidentiality and compliance with ADA and FERPA requirements.
  • Support implementation of the program’s ADA grievance and accessibility processes.

7. Collaboration & Cross-Functional Coordination

  • Collaborate with AKCOI Team members: Program Manager, Transition Services Coordinator (TSC), Workforce Support Coordinator (WSC), Instructors and Trainers, Data Entry Coordinator (DEC)
  • Participate in case conferencing and program performance reviews.
  • Support transition planning and referrals when participants approach program completion.

8. Professional Development & Compliance

Participate in all required:

  • Illinois Works Professional Development (PD)
  • Communities of Practice (CoP)
  • Technical Assistance (TA)
  • Maintain compliance with:
  • Illinois Works SOPs
  • Grant requirements
  • Data integrity standards
  • Participate in monitoring, audits, and corrective action activities as required.

Required Qualifications

  • Bachelor’s degree in Human Services, Education, Workforce Development, Social Work, or related field (or equivalent experience).
  • Minimum 2 years of experience in workforce development, education, case management, or student support services.
  • Knowledge of: Workforce development programs; Adult education or pre-apprenticeship models; Case management and student support best practices
  • Strong documentation and data entry skills.
  • Ability to navigate and maintain compliance in data systems (IWRS or similar).

Preferred Qualifications

  • Experience working with Illinois Works or WIOA-funded programs
  • Familiarity with IWRS or similar workforce data systems
  • Experience supporting underserved or justice-impacted populations
  • Knowledge of construction trades or apprenticeship pathways

  • Occasional evening or weekend hours may be required

Job Type: Part-time

Pay: $28.00 per hour
