The Opportunity

We’re seeking a detail-oriented, client-focused Client Service Administrator to join our San Diego office. This role is central to delivering the first-class experience our clients expect and ensuring our operations run smoothly. You’ll work closely with our advisor team, manage client documentation and account maintenance, and be a welcoming presence for clients visiting the office.


Key Responsibilities

🔹 Client Service & Operations (60%)

  • Serve as the first point of contact for clients and liaison to advisors
  • Prepare and process account paperwork, transfers, distributions, and updates
  • Maintain client records and CRM data with precision and care
  • Coordinate with custodians to resolve service issues
  • Assemble materials for client meetings and mailings
  • Manage office supplies, vendor relationships, and overall office presentation
  • Greet clients and ensure a warm, professional experience


🔹 Advisor Support (40%)

  • Assist in gathering and organizing client financial data
  • Support financial planning and investment research
  • Prepare performance reports and reconcile data
  • Attend client meetings in a supporting role
  • Generate client correspondence and documentation

  • Proficiency in Microsoft Word, Excel, and Outlook
  • Ability to manage multiple priorities with grace and professionalism

 

Education and Experience

  • Bachelor’s degree preferred; High School Diploma or Associate’s Degree acceptable with equivalent experience in an investment support role
  • Series 7 license required; Series 65, 66 preferred
  • Minimum of 3 years of proven success in an administrative support function in an investment environment
