Overview

The Showroom Coordinator is the welcoming face and operational anchor of Artistic Kitchen. This role blends hospitality, organization, and design-adjacent coordination to create a seamless and elevated client experience from first impression through project completion.


Working closely with the design and sales team, the coordinator ensures the showroom runs smoothly, supports day-to-day operations, and contributes to the overall presentation and success of the business.

This is a long-term, in-person role for someone who takes pride in being highly organized, client-facing, and an essential part of a high-performing team environment.


Hours

Monday–Friday, 8:30 AM–5:00 PM (in person)

One Saturday per month for showroom coverage or special events


Key Responsibilities


Client Experience & Showroom Operations

  • Greet visitors and provide a warm, polished introduction to the showroom and product lines
  • Serve as the primary point of contact for phone, email, and in-person inquiries
  • Schedule and confirm appointments; manage the shared calendar and CRM entries
  • Maintain a high level of hospitality during client visits (refreshments, readiness, flow of appointments)
  • Ensure the showroom is consistently clean, organized, and visually aligned with brand standards
  • Open and close the showroom according to company procedures


Administrative & Sales Support

  • Prepare and maintain client files, proposals, and supporting documentation
  • Assist with lead tracking, CRM updates, and reporting
  • Coordinate sample requests, vendor communications, and product information updates
  • Assemble client-facing materials such as proposals, welcome packets, and presentations
  • Maintain inventory of printed materials and branded collateral


Marketing & Creative Support

  • Assist in creating client-facing materials using Canva, InDesign, or similar tools
  • Support showroom staging and preparation for photoshoots
  • Coordinate with photographers and marketing partners on project documentation
  • Contribute to website, email, and social media content efforts
  • Manage and engage with the company’s local social media presence
  • Assist in planning and hosting showroom events and trade gatherings


Product & Vendor Coordination

  • Participate in ongoing product knowledge training
  • Maintain showroom displays and sample libraries
  • Coordinate with vendors for updates, replacements, and new materials
  • Support evaluation and introduction of new product lines


Qualifications

  • Exceptional interpersonal and communication skills with a polished, professional demeanor
  • Highly organized and detail-oriented, with the ability to manage multiple priorities independently
  • Strong sense of professionalism, presentation, and client-facing etiquette
  • Proficiency in Microsoft Office, Google Suite, CRM systems, and design tools such as Canva or Adobe InDesign
  • Familiarity with social media platforms and basic content creation best practices
  • Background or demonstrated interest in interior design, kitchen design, or luxury home products preferred
  • Mandarin language skills are a plus, particularly for supporting a diverse Bay Area clientele
  • Enjoys being a central point of coordination and supporting a team in a fast-paced, detail-driven environment
  • Availability to work one Saturday per month for showroom coverage or events
